Hey thanks Sebastian. So the Access exam is one of the tougher MOS tests. Definitely learn about subforms and layout and design changes on reports. Not a bad idea to learn about database options in the File Tab too. Glad you like the videos, best of luck with your test. Let me know how you do!

These videos are amazing and extremely helpful, thank you so much!! I'm preparing a database, and I was wondering if it would be possible to link two tables without using the primary ID. The "teacher name" field of one table (Student Information) is a lookup field taken from the teacher name field in the teacher information table. Unfortunately, the relationship was not created and is not visible when I click on the relationships tab, despite the lookup working fine. Can you please tell me if there's a way I could relate both tables without using the primary keys? Thank you, Angela

Can you help me create a relationship for a list of clients then under each client, a list of websites and sign on info? Very similar to what you did in this video I'm just hung up on the relationship part. I created a Client ID for a Client Table and Website Table but maybe I have the primary key messed up. thank you love your videos!

Hi Michele, Yes, you're probably right about it being an error with your Primary Key. I'd recommend linking the two based off of the Primary Key, which should be Client ID, since you won't have the same Client ID for more than 1 client. Here is a video I made on Primary Keys. Hi Aastha, Make sure you have the table closed on your database. Many of my students make the error of trying to link tables while they're open. It's a common error, so just close all objects before you try to make any relationships. I hope this helps.

Sir I need to create a Item code Generator for our company only 2 criteria, that is item code and its description, but whenever a new item need to add to our database, it should check the database, if not found it should create a new item code and save it in the database

Hi Shaik, You will need to link the two tables to one another with the item code as the one to many relationship. This will require the 2nd database to check for that item code as part of its criteria. I hope this helps.

Hi Donna, Make sure that you don't have either of the tables open in your database. If you have an object open that you're trying to link, the option will not be available. I hope this works for you.

Great video, thank you. I'm trying to link a 'Projects' table with a 'Tasks' table, where multiple tasks occur in a project. My tables are linked after following your instructions, however my Projects table shows all entries from the Tasks table, not just those with the linking ID. Any ideas?

Hi Lena and Martin, If you try to link the 2 tables, you will need the linked relationship fields to have the same information. For example, in my tutorial you can see the information and the data type is the same. If you have a different data type, you won't be able to link them with Referential Integrity. Check the data type for the fields on each table and let me know if this helps.

Thank you so much for, quick, precise, to-the-point info. In under 8 minutes. A lot of the videos I click on for tutorials are hours long. That's just not practical and a lot of the times they mention things that I don't need to know, therefore making the video longer than it needs to be imho.

Hey thenotorious mcg, Sorry I didn't get to your question before your class, but I know what the problem is. You just needed to close the tables that you were linking to. You cannot create a relationship between 2 tables if either of the tables are currently open.

Hi Kangala, Are you an administrator on your computer? I've found a good way to fix that error is by saving the database to another location on your computer. So go to File, Save As and choose a different location. That usually resolves the issue.

Whenever I open any file relating to Access, a temporary Access file with same name in "Microsoft Access Record-Locking Information" type is being displayed in the location where the actual file is already saved and the temporary file becomes invisible when actual file gets closed after doing my work. I think is this might be any reason for the issue? Please tell me how to resolve this.

Hi Knagala, That could be the reason for your issue. You may also try reinstalling Office or restoring Access to its default settings. That way if a setting was changed and is now causing this error, resetting to defaults should fix that error.

I am trying to form a relationship between two tables where one table I am using Data type Yes/No via a check box (example: injury (yes/no via check box)) and the other table have the same fields but I am in need of these fields keeping a running total (example: number of total injuries). The second table I am using number as the Data Type.

Hi William, I think you may be better off to make a Query or Report instead of another table with the same information. You can create a query with a running total or add a total row to a Report field. I have a video that discusses these items. This is a great video! The only thing that I would suggest is that you be careful with regards to how you refer to the “Cascade” option. It does not refer to adding a sub table in your table. It actually refers to cascading the changes that you make throughout child tables. I only point that out because you also checked the cascade delete which will delete, everything related with a record throughout your database (and cannot be undone) when you delete it as does making a change to something you cascades the changes down to all of the other records that it affects. Other than that is an awesome tutorial.

I'm stuck with sub datasheet view! for example, I've 3 separate tables. wanna relate them with one junction table. say, number 2 table has a common field ( could be described as the master field ), which is related to two other fields. one from number 1 table and another from number 3 table. after creating the relationship, when u press the " + " sign of the sub datasheet view, " insert sub datasheet " dialogue box appears! why so? I just wanna see related fields to that particular field. why that doesn't happen?

hi there and thank you very much for the tutorials. I have a specific question and I hope you can help me with this. I have a set of more than 10.000 datasets, which are numbered by the normal ID 1 to 10000. next to the ID I have a field, which is dedicated to the molecular formula, and other information. now the molecular formula is in some cases the same. So I have for example 6 entries for C10H10N2, 13 entries for C10H10N2O2, 1 entry for C10H10N2OS., etc. I can do a query where I list the formulas and the count (how many formulas I have) is there a way that access gives me the ID (1 to 10.000) for the individual molecular formua? i.e lika a matrix formula ID ID ID ID ID ID C10H10N2 5 843 52 3597 53 8965 C10H10N2OS 17 ...... your help is much appreceated

In a professional database the PK should be a single column integer that is not updateable so update-cascade is not needed. There are reasons to use the same advice for intersection tables (that enable many to many relationships) as well.

First I got 'no unique index found for the referenced field of the primary table' and I set the index for the fields I am trying to relate to Yes (No Duplicates) and then a different problem came up 'Microsoft Access can't create this relationship and enforce referential integrity. Data in the table 'destination table' violates referential integrity rules....'. How do I get around this?

Hi Timothy, This problem is a little difficult to solve without seeing the database, but I'll do my best to help. You need to make sure that your table has a Primary Key properly specified that doesn't allow duplicates. If it contains duplicates, it will not be able to enforce referential integrity since each item is not unique. I hope this helps you out. Have a nice day.

Hi Jay, Your report will update if you change the price in your table. I recommend saving the reports as a PDF so that you have older versions of the reports as well as the newer updated price reports. I hope this helps you, thanks for watching!

Hi Prof Adam, great tutorials. Can you help a nube please. I am trying to create a ‘simple’ training matrix. I started in Excel with pivot tables and other excel fancy stuff and realized it was not so simple. So I am now looking at access. My knowledge of access is somewhat limited. If I could just outline the variables and maybe you could guide me a little So we have 1. Employee 2. Product 3. Production line - multiple types of product can be made on the same production line 4. Documents - 3 types per product - Work Instruction (WI), Test Procedure (TP) & Calibration & Maintenance Instruction (CMI) 5. Skill level - none, skilled & trainer So we easily need to see where there are 1. Skills gaps on an employee 2. Skills gaps on a line 3. Skills gaps on a product 4. Other relevant stuff To allow people to flex and cross train so that the lines don’t stop when an individual is not on site or we need to increase capacity by putting more operators on the line. I have looked at forums and templates but for whatever reason this kind of thing seems to be challenging.

Hi Graham, I'm sorry but this is somewhat difficult to solve without seeing the actual documents. I will try to help. So for the different fields, you should create those on a table, then modify the field types as necessary. I am not sure how you're going to quantify skill gaps, but you'd need to have a measurable indicator of that. Please try to give me some additional information if possible and hopefully I can help more.

Thank you for your video. I'm dating myself but I used to make DB's with DBase III as well DB Programs with Clipper. I am trying to get up to speed on this new format that MS uses and your tutorial really helped. Concepts are basically the same its just a new approach to getting things rolling. THANK YOU.

Hi Adam. Normally this is done on a simple excel sheet, names down the side, skills accross the top. Then the squares are coloured say red, amber and green depending on competency level. The skills gap is simply done by visual management - for a perfect operator you want greens accross all skills. In my case there is the knowledge of the related procedures per process and products that qualify this skill level > not trained, trained and expert (a trainer). This is probably not making any sense sorry

Hi Graham, I see, well if you're looking for specific conditional formatting (red, yellow, green etc.) then I would keep it going in Excel. It depends how how visually appealing you want your data. For what you're looking for, I don't see why Excel wouldn't work, unless you have multiple tables worth of data that reference each other. If that is the case, then perhaps have a primary key (say Employee number) that is used as the 'One' in the "One to Many" relationship. I hope this helps.

This is amazing. I am currently working on a customer database and this video has given me more understanding. I have a question: I have customer table, transaction table, Bank information table and cheques table, how do I link these tables to my Customer table?

Hi Kingsley, Thanks for watching! Yes, you could do that. I recommend adding a primary key to your customer table. This could be something like a customer ID number. Then add that customer ID Number where necessary in the other tables. Then follow the steps shown in this video to link all of the tables using relationships. I hope this helps!

Adam, Thanks for all the helpful videos. You had helped me last year on an Access issue and I ran across another. I'm trying to get a Data field from a form to enter the Data into 2 tables. The Tables are "related" but for some reason when I enter the data in the Form, it will not populate into the 2 tables. Any suggestions and/or advice would be great. Thanks again, Larry

Hi Larry, Good to hear from you again. I am not sure of how to fix this without seeing the database, but one thing you can try is to create a subform that contains the fields from both tables. Thank you, that helped, but yes, if you would, it would be awesome if you can explain an efficient way to manage documents and receipts and such. No one has done this. I asked one individual online and he tried but unfortunately, it wasn't a very good tutorial. It was excruciating to watch and not practicable.
