Amazing tutorial Mynda. Lots of great tips even for power users (and I pretend being one of them) so I had to pause and rewind many times. The color combination (gradients of blue) is so beautiful and relaxing to the eyes compared to some other dashboards that look like a parrot. I would nominate you for the Nobel prize of Dashboard creation, if it ever existed! One question though: How many of these green T-shirts you have? because in each tutorial I feel like it's a brand new one :) Thanks again for sharing your outstanding knowledge.(Nabil Mourad)

Love the tutorial - I learned loads, but your formula at 4:15mins for Plan vs Actual Var% confused me. If the data amounts had instead been plan costs = 100, and actual costs = 120, then surely the variance% should be -20% (overspent), but your formula (Plan/Actual-1) would give -16% overspent.

Another fantastic video. As an alternative for "=If" variance indicators you could, when modifying the pivot table number format to use [ALT+Numpad 30] for Up triangle, and [ALT+Numpad 31] for Down triangle. e.g ▼* 0.0%;▲* (0.0%) Adding this in the pivot table formatting makes this format available in the ribbon number format. Using this format allows you to keep the variance % as a number instead of a string.

Yep, great idea. You could even go one further and use: [Color10]▼* 0.0%;[Red]▲* (0.0%) You can play around with colours 1-56, or use the 8 standard by name (although I find the 8 standard quite harsh, apart from the red, which is okayish).

@@ApteryxRex yes, good idea. I have a workbook saved somewhere, but I probably only use a few of the colours so just know them. It's a shame Excel never extended the use of them and allowed a colour index, and reproduced the simple +;-;0;@ formatting formula for cell shading. I've also never understood why cell formatting and conditional formatting are not part of the same dialogue box. But there we go!

Also not a fan of dark backgrounds in dashboards, especially loaded dashboards like this example. I like dark backgrounds in other apps/settings (e.g., PowerPoint, mobile phone, Kindle), but I find dark dashboards difficult to read.

That's just how the dataset was, but they can be on one line if that's how they are in your dataset.

Just discover your channel and have been binging whole weekend on your tutorials as i need to create pivot table and dashboards. Can i ask does these interactive charts takes up alot of excel space, as i want to track Plan vs Actual on monthly basis , my biggest concern that if too many charts will start slowing down the excel file big time. What is "plan" referring to? I'm assuming forecast is referring to the budget that was forecasted for the current period/month/year. Meaning we forecasted the budget for coffee in January to be $100. However, we actually spend $120. SO, we are $20 over budget for coffee in January. So, Actual costs (column is "actual" - $120) vs. forecasted costs (column is "forecast" - $100). My question is, what is "PLAN"?? I haven't heard of the term "plan" in any other budget variance examples. Please help me understand.

Plan is another name for budget. Forecast is effectively a revised budget once actual data starts coming in which results in a change to the original budgeted values.

Also 3 years late. ☺ Good tutorial on the subject, but also on many Excel features in general. Question: I have always thought of Budgets as "What you believe you'll spend" vs the Actual, yet you have "Plan" and "Forecast" figures which to me would be synonymous and could be used as "What you believe you'll spend". Perhaps you're using Forecast as a beginning of year budget and Plan as some budget amounts approved during the year, but what are Forecast and Plan in your schema? Thanks.

Glad you enjoyed it! Plan is the same as Budget. Forecast is what you now expect once some Actuals start coming in and can be updated each month.

Thank you. Plan is the same as budget. This is derived prior to the year i.e. before you have any actual data. Forecast is the revised plan/budget based on actuals YTD plus new knowledge of future costs/income. As an accountant, that's how we differentiate them...at least where I worked anyway :-)

Can you help?!! I want to multiply a pivot table value field that compares this month to last month PPU, giving a variance, by this month's volume (field). Inserting a calculated field doesn't show that value field variance as an option to use, just the base PPU for the month, and "calculated items" are greyed out. Any way to do it in Excel? Want the Pivot to update with that calculated revenue impact of the price change. So its "This month PPU - Last month PPU x this month volume". Fields: PPU (revenue/volume), volume, revenue, month

If the calculated field option is greyed out it suggests that you may have added your data to the Data Model aka Power Pivot. If so, you'll need to write a DAX measure for the calculation you want. Beautiful, beautiful work you're doing! I think I let out a scream every now and then when something excites me. Can you tell me why you use a background image? I'm finding that very kludgy to have to create a image the color you want and upload it. It also looks like yours has a gradient and if I try to do that you can see that it tiles the background image.

Thank you! Glad you like it. Yes, the background image is tiled, but if you make your image slightly bigger than the size of your dashboard area, then you don't see the tiling as they're outside the dashboard range. If you don't want a gradient, then you can just use a background colour rather than an image.

10:00 Wouldn’t it be easier to just use a Custom format on the percentages? It’s already set up to format based on positive, negative, zero, and text values. [Green]0% “UP”;[Orange]0% “DOWN”;[Black]”LEFT RIGHT” Just copy/paste the up, down, left, right symbols where you see UP, DOWN, LEFT, and RIGHT.

Yep, that's another way to do it. I use that technique in some of my other videos. In this case a positive variance is adverse (negative), but you can still handle it with a custom number format.

The Conditional Format rules will get cluttered and adds extra compute cycles. It won’t be noticeable on a file this small, but it becomes noticeable on larger files with more calculations. The masking Custom Formatting applies is much less CPU intensive and keeps the Conditional Formatting rules much more manageable. I appreciate the dialogue. Sounds like something is corrupt in your file. You could test it on another PC to establish whether the problem is Excel or the file.

I can't get that custom format to work @4:53 of the video. Excel says, "Cannot use the number format you typed..." I typed: $#,##0.0,,'M';($#,##0.0,,'M');

They should be double quotes around the "M". Like this: $#,##0.0,,"M";($#,##0.0,,"M"); Your format has single quotes.

Hi Pak, there is nothing wrong with the file download from our end. I suspect you have a browser issue. Try a different browser and be sure to read the instructions on the download page.

Hi had a query. When you filter by the slicer the minium and maximum bounds of the X axis doesn't change, is there a way for this to happen? So that when you select an item from the slicer and it updates the chart it will also update the minimum and maximum on the X axis making it easier to see the filtered data?

The chart axis will auto-adjust if you set it to 'Auto' in the axis settings.

Hi Mynda - a question I hope you can answer... I'm confused on the number formatting. What I do: I try to scale down large numbers to "k" and "M" which displays the numbers correct in the cell (while the underlying number is as it should be in the formula bar). What I get when I insert a Pivot table is confusing... The axis seems to display the larger numbers. Can you shed any light on this? Also it's a bit confusing with which operator to use for scale down. I use two ways and both seems to work; a) '# ###,0 k', b '# ###,0 \M'. Seems like the comma v.s the dot v.s the space is a bit sensitive... Lastly, do you think it's best to do all number formatting in the actual tables instead of in the analysis sheet? Thank you,

PivotTables don't respect cell formats. You would have to format the PivotTables using the same custom number format for K and M.

Thank you for showing this Plan Vs Fcst vs Act Dashboard. I am watching and going over and the first overlapping column chart for Act vs Plan vs Forecast. I noticed that when I hover over the month of May, I couldn't get the plan to display $71.8M due to the Fcst & Actual were higher and the Plan with Gray color were not visible enough to show the $71.8M. How can I fix it? Thanks.

I used a shape in Excel and coloured it the way I wanted, then took a screenshot and saved it as a .png and used that as my background 😉

Hello Mynda. Fabulous training you are providing and many thanks for this. I'm struggling to understand at 4:15 into the video how Plan/Actual-1 calculates a percentage of the Plan budget used. In my workings, I am using Actual/Plan. Can you explain to me and I am not a math guru 🙂

Thanks, Nigel! The calculation at 4:15 is calculating the variance i.e. the difference between the plan and actual, not the percentage used. Actually, the formula should be Actual/Plan-1 e.g. if plan is 100 and actual is 90, then the variance is 10% and the percentage used is 90%.

@@MyOnlineTrainingHub Thanks for your reply but I see that I should have mention the timeline 4:17 where your video clearly shows "Plan/ Actual-1" so using Plan:100 and Actual:90 inputs results in 1.11111111 then minus 1= 0.11111111. I agree that 90/100=0.9 (90%). Maybe I missing something obvious.

I suspect you've added your data to the data model. When you do this you can't use the regular PivotTable calculated items and fields. Instead you use DAX functions to add columns and measures.
