Nicely presented, Mynda. This should advance acceptance of table based modeling and PivotTables in general. I'd like to remind viewers that a HUGE advantage of PivotTable financial statements in addition to slicers is DRILLDOWN! This is particularly useful when we pull detail actuals directly from our financial systems using Power Query.

@@MyOnlineTrainingHub update...i publish on demand up to 3 years only financial statements nearly 30 divisions using power query to merge chart of accounts, opening balances, current activity, posted and not posted for well over 600,000 transactions. best part is that i can show Financial statements segregated by posted and waiting to be posted so that we can predict what the statements will show once posted. what rakes others a full day, just takes me to refresh and in about 20 minutes its done. who needs college? best bang for the buck for this 40 year accountant are videos like this.

Awesome to hear! I use Power Query whenever I have multiple steps I need to perform to clean data, or if it's something I'm going to want to do again when new data gets added to the source I'm referencing. If it's a one time and done task, then I'll probably use one of the Excel tools.

Many thanks for this great tutorial Mynda! I think this P&L report would be easier to read if there was a bit more whitespace between the lines. I strongly prefer to scroll down rather than read scrunched reports (even if the whole report can be seen on one screen). Just some feedback for what it's worth... 🙂

With a PivotTable you can only insert one blank row after each item, but you can always make those rows wider if you prefer.

Hi, Thank you for the tutorial. It is very clear and informative. Can we add subfields in the pivot table? Income - COGS = Gross profit. After the Gross profit level, I want to give the break up of expenses. The heading should be "Less Operating Expenses" and under this group A) Staff Costs and under this, there will be accounts. Then " B) Rent Expenses" and under this, there will be all the rent expenses. Thank you

I have learned a lot of ins and outs of pivot tables from your videos. There is one thing that has me totally baffled. In a pivot table P&L, how do you subtotal items that have several components such as "Auto Expense:Fuel" "Auto Expense:Repairs" "Auto Expense:Registrations". I tried to insert a calculated item to sum these items BUT the subtotal for "Auto Expense" adds itself to the expense total and essentially doubles the auto expense. There has to be a way to accomplish this to show a subtotal for multiple related items. ie. Insurance:General, Insurance:Professional Liability etc.

That's brilliant thanks Mynda. I work in an accounting practice and we often receive csv files exported from the client's online banking records and we import those transactions to a spreadsheet to produce reports using a pivot table. So unlike your sample, we have either one or two amount columns and often one column contains negative numbers, which is all a bit tricky when we create the pivot table. Do you have any tips when dealing with multiple columns and negative numbers, particularly when we produce a separate cashflow report which must reconcile with the bank balance? BTW, like yourself I am passionate about Excel and wished I had been able to use it much earlier in life.

Great to hear, Dennis! You can add a third column that brings the debit and credit into a single column and use this in your PivotTable. If you want to convert the negative values to positive, just minus them in the formula. You could use the same technique as the P&L to create the cashflow statement using a PivotTable. You just need to classify the different transactions into their relevant sections like I did for income and expenses etc.

Hi Rich, you can't do that calculation with a regular PivotTable. You'd need to write a custom DAX measure in Power Pivot to reference sub-totals/grandtotals of other fields. You could try putting the calc in the source data, but you're adding a whole column for just one value, and if you have a lot of data then it's not the most efficient way to approach it. Thanks for the excellent tip of calculated item in Pivot Table. Very helpful. Kindly give your thoughts for preparing consolidated income statement where you are receiving trial balance in multiple currency and monthly exchange rate. Can we use "calculated field" to convert "Local currency" data by dividing "Exchange rate" to get "Reported currency"?

Glad you found it helpful :-) I would use Power Pivot to do this. Power Pivot allows you to store the FX rates in a separate table and then reference them in your measures. Regular PivotTables don't have this relationship functionality.

how can you make the p&l if you have a list of sales data (eg thousands of products with a price quote and cost for each). In that case doing the "account group" will defy the purpose of having the pivot table in the first place no? Would you know how to do it? Great video btw

Glad you enjoyed it 🙏 Correct, if you want to use the data in a PivotTable, I wouldn't group it in Power Query first.

Great to hear! I think you mean Power Pivot, not Power Query. In Power Pivot you would have to write a measure.

Thanks Mynda, this is genius! Would you have created a cash flow forecast in the past and I've missed it, as a student of accounting this would really help me! Please point me in the right direction as cash flow forecast is the most important type of spreadsheet I could think of in this financial climate? Thanks in advance:)

You can create a cashflow statement using the same techniques. You just need to classify the different transactions into their relevant sections like I did for income and expenses etc.

You'd have to add another column to your source data that categorizes them into P&L or BS and then you can filter the BS accounts out of the PivotTable.

This is awesome. I tried to use this in my work, however, it was very slow to calculate maybe because the file is too large. is there a way to calculate quickly using the calculated item, or this is the fall back of pivotable?

PivotTables are usually very fast to calculate, so might be something else causing the issue.

Thanks for your info, I love to follow the instruction, however , when I do the calculated Item to compute the gross profit it mentioned the pivot table formulas can only refer to items in the same field as the calculated item. What are the possible problem why it's not calculated properly? thanks

Hi Teresa, If you notice in my example I'm using items from the Account field (column) to calculate Revenue etc. I'm not referencing items in other fields (columns).
