Flash Fill in Excel is used to automatically fill the data with the help of available cells pattern in such a way that if we combine 2 cells' values in 3rd cell, then we would be automatically combined the rest of the values of the cell using Flash Fill, which is available in Data menu tab under Data Tools. Shortcut Key for Flash Fill in Excel
In Excel, we are aware of shortcut keys that we can use them for various functions; same as other functions, Excel Flash Fill has a keyboard shortcut. The shortcut key for Flash Fill in Excel is "CTRL+E".
Let's see how to add Flash fill in excel.
• First, Go to the File menu.
• Click on Options.
• Once we click on the option, we will get the dialogue box.
• In the excel options dialogue box, we can see the option Advanced.
• Click on the advanced option so that we will get the advanced option dialogue box pop up. Once we click on the advanced option, go to the Editing option to see the "Automatically Flash Fill" option checkbox. Checkmark that, so the Flash Fill option will be enabled.
• Now we can check in the Home menu; Flash Fill is enabled.
Consider the below example, which has the Last name and First name in two separate columns. Assume we have a huge list of names that we need to combine in one single column. If we go on typing, it will consume more time, and there is a chance of getting names mismatched. In these scenarios, we can use the Flash Fill option to fill the names automatically.
• First, click on the C2 cell column named called Flash Fill.
• Type the Last name and First name in C2 as shown on my screen.
• Now go to the Home menu, and at the top right corner after Auto Sum, we can see the Fill option if you place your cursor on this Arrow down as shown on my screen.
• Click on the Fill option so that we will get the list of Fill List. Choose the last option, which is Flash Fill.
• Once we click on Flash Fill, we can see the beauty that all the names will be filled automatically by using them, and we will get the result.
Let's consider another example by Combining Multiple Names Using Flash Fill
Here, we are going to see how to use flash fill with multiple names and email id which has Last name, First name, and Email id.
Assume that we have the same list with other names with their email id, and we need to combine the first name along with email-id. We can type and complete the process, but it will take a very long time if we have a list of 200 names at a time or more. In these scenarios, the Flash fill tool will be very useful because it actually saves more time by filling the data automatically. Let us see the procedure of doing it by following the below steps.
• First, create a new column and Type the last name with the first name or anyhow you want it to be; then email id: let us use the first name to create the email-I.e. James@gmail.com, Now let's apply the Flash Fill shortcut key by holding the CTR+E Key So that all the names will get filled automatically, which saves a lot of time in typing, that is it!. Also, In the Flash Fill Column, let's combine both the last name and first name to make up the email here. I am going to type Frankjames@gmail.com. Also, Press the CTR+E Key to fill in the remaining Columns which saves a lot of time in typing.
Let's look at another example by Extracting Data Using Flash Fill
Here, we are going to see how to extract specific data using Flash Fill. The Flash fill tool can combine multiple names, and it will extract the data that we are exactly looking for. In the new table here, I have included Emp. ID in the table and I have removed the Email ID which was included in the previous example. Now, I have my last name, First name, and Emp. The ID of Individual employees.
Now, we need to extract the first two digits and the last two digits of the Emp. ID. The next thing to do is to:
• Create a new column and name it Flash Fill.
• Now type the first two digits and the last two digits of the Emp. Id, then separate them with a slash "/" in cell D2 as - 70/20
• Apply the flash fill shortcut key, or we can use the Flash fill option in the menu. But here, we will use the shortcut key for applying Flash Fill. Press the CTRL key plus E. Now we can see that all the data will be filled in automatically. That is it!
