This is really interesting and very inventive. Thanks for the contribution, but I think I'll stick with my simple method: I use a "Recurrence" column with the "Select" property. If I have a recurring task, I just use a tag in that column that specifies the frequency of the recurrence (e.g., "Weekly-Wed" "Yearly-Nov 30" "Monthly-1st" etc. - I have about 20 tags and I add more when I need them). I look at whatever the recurrence tag for the task says, and I reset the due date accordingly.

Just started using your tasks template and it is phenomenal! I’ve customised it a little bit and added a new “someday” view that shows all tasks without a due date or with one that’s more than 7 days in the future. Just added my first weekly recurring task to the system and it’s working so well. Thank you for the template and the explanations.

Awesome! The best solution for recurring tasks on Notion out there! In my case Dog Training Exercises. Finally I have control over my exercises to come up every so often. I can assign to every exercise the cycle in which it shall reappear: Heeling - every day, Distance Control - every 3 days, new exercise - every day, Chin Rest - every 14 days.....and so on. This way I can see on one glance which exercises I want to train today or this week and never forget about the older or not so important exercises. Thank you so much for this!! Just a liiiittle funny thing: when I put 1 in the interval it gives me 2 days between Due and Next Due. ...😍

Create a week with Monday's date. Inside the week there is a table, one row for each day of the week. On sunday before that week(use the reminder for this), You place a dot ( · ), if you plan on doing X habit on that day and so on. When the day arrives you can check if done, X if procrastinated and write the reason why or circle (o) if there is a reason that is not an excuse to not have done it. Hope it helps :)

Really useful video, you released this video at the perfect time, I had just stopped using Notion and switched to google calendar for my tasks since I couldn't figure out a method of implementing daily tasks into Notion and I thought there was no system in place for tracking tasks or habits in such a way that it was intuitive and effective enough for me, but you solved it!

One can have a date change based on last change date of the form, which will be triggered to now() based on checking a box. This is a known work-around. However, the checked box does not get unchecked by itself, so that means one has to treat it as a toggle, or in fact to check and then uncheck immediately. That will move the calculated next due date to interval plus now().

Alright, I'm a little mad at you. Or KZitem. Or Somebody. See, I've been looking for something like Notion for about 6 months and I finally found it and your videos on it during my semester break (Online Freelance English Teacher). The PROBLEM is that I have 15 NEW classes next semester (so yeah, new videos, new material, new students) and I REALLY need to be in create-content mode and now I'm in organize-all-the-things mode. AND, as I'm sure happens with anyone on the first couple of gos with Notion, I created a big-old database table with all my classes (28) and now I can't figure out how to grab the sub tables and put them in other databases. AND, I have zero time to figure it out. All that to say, THANK YOU for making these. I'll be haunting you during my breaks until I can figure it out.

Can you make a video on the Below: Goal: Create a dynamic pre-populating planner 1. Have a database that holds daily pages that are unique in name to the day they reference, and repeat specifically for the day. So on monday, i expect to see mondays page within the database created. 2. Have a tag to those entries for the week they represent. so all of the unique days in one week should share a common tag. (hopefully custom date settings enabled) 3. have a database template view as a weekly planner with linked views to each original data - along with linked views to a habit tracker, and weekly priorities. 4. the weekly template needs to sit inside of a database as well, and get created repeating every Monday. Then all of the daily related entries nested in the weekly template are stored in a database as well. Love your videos! I recommend you and ur videos to everyone at work.

Just found the second channel! I gotta say Thomas, you outdid yourself. I was already using the KZitem Project Tracker and Notes tracker, and like how you structured both of them. I'm constantly looking forward to new Notion material from you, and it's cool to see how deeply you've dived into this app - I can tell you've found it as life changing and us in the community have. Also appreciate how you focus on the learning process -- I've learned so much about Notion over the past years and actually understanding the inner mechanics is so vital to creating and tinkering with Notion to fit the almost infinite number of use cases for its potential. One question: Is there a way to connect the checkbox with a "Not Started/In Progress/Complete" select? This would be fantastic as I love seeing tasks in a kanban style view.

This can be done with Zapier or automate. It's slightly clunky but the workflow within notion is simpler in the long run. You just click done and you're done. You still need the reoccurring internal in the DB

I just found another way on how to probably do this. Once we have a set of recurring tasks, we add a Calendar view by Due Date and move them easily to the next due day. Like, say you have some stuff to be done every week on Monday. Chest and Back Workout and another task that says you have to monitor your portfolio, then all you do is once these two tasks are done, go to Calendar View and filter to Calendar by and select all tasks from Monday this week and drag it to next week.

i had the issue on paper journals that writing down recurring to dos and not doing them became the norm to me (i seem to approach lists in writing everything i should do, not bein able to do all of them and focusing on what i'm told to do asap usually leaving the daily things that add up behind and it becomes background noise i don't notice after awhile) since i'm new on notion, i want to use that feeling of novelty as a way to reapproach my tasks, duties and priorities and so far (starting my third week) i've been able to do more in two weeks than i have since november : since i'm INTP, to do lists tend to work better for me than schedules set in stone so i've put everything i want do in the near future on a task list, make a new page every week as to not let it fall in the background of my mind and force myself to work with the system of a 9 to 5 (im unemployed atm and it's a way i've found not to feel like i'm constantly doing chores and i know i'm gonna have free time and most importantly no guilt in the evening, doesn't help that the task i hae the most is cooking dinner for my family and well it's something that happens after 5 so i'm really loose and super indulgent with the system, that's the key : better is good enough, or done is better that perfect)

This is the best recurring task solution by far/by now. The problem is always that new templates come with new formulas and I've done my share of mistakes when trying to use only that part and move it/copy to my existing Tasks database. _This_ time I've moved all my tasks into this template, rescheduled (yes, time consuming) and added old Properties one by one and re-established the relational databases. I do appreciate you work with this and thank you for it, but Notion should have recognized the need for this and made it an option in the app.

I'll probably have even more robust task templates in the future, so I'll add this note now: As long as your personal databases contain the same properties (with exact names) as the ones mentioned in my formulas, you should be able to copy-and-paste them without any problems :)

I use Notion for task management, but use Reminders/Fantastical for the few recurring ones I have. No sweat.

That definitely works as well! I was using Todoist for tasks during the last couple of years that I've been learning Notion. At this point, though, I want to move tasks into Notion so I have a single system for everything, and so that my tasks can be associated with content and projects.

That definitely works as well! Todoist and other task managers essentially solve all these problems for you, but the problem for me is they can't hook into my Notion data. This recurring task system is just one piece of a larger puzzle; my own version hooks into our content database, along with a Projects database for larger projects.

Seeing as how much effort went into this, I can say it would be a much better idea to implement a Tapermonkey script that would allow you to do a lot more. The only caveat is that you have to know Javascript and Css to be able to do it.

Agreed - it's definitely easier! However, I know some people want to move their entire productivity system into Notion, so hopefully this helps with that. Additionally, there are some pretty huge benefits to moving tasks into Notion for my own workflow. For one, they can be associated with individual pieces of content, which have their scripts, b-roll lists, sponsor requirements, and other info right in Notion as well.

Quite an inventive solution to the recurring tasks setup. But I think your complex formula for the "next due" is a bit overkill. Since you have to manually reset the due date for a recurring task, why would you intentionally reset it to an incorrect date? In your example, if you're checking off on the 5th a recurring monthly task that is due every 1st, why would you reset it to the 5th of the next month instead of the 1st (you see the next due date of 1st of the next month in the "next due")?

There are instances where it'd be much harder to know when the next date is. For instance - a task that repeats every 3 days, but its 16 days overdue. When should the next due date be? The vast majority of users don't want to sit there counting by three until they get a day that is past today's date, so we need the formula to be smart enough to account for overdue dates that go past multiple recurrances.

Thank you! I've fully moved on from Todoist at this point (except for groceries). There's just too much value in being able to relate my tasks to pieces of content that I'm working on, and to be able to spawn template instances for complex processes.

To clarify, if I have a weekly recurring task, I have to manually change the task date each week so that it shows up in as a To-Do on my Calendar and Next 7 Days views ? Is there no way for it to self-recur? Also, once I check 'done' for that weekly task, it will vanish from those views until I remember to change that date? Thanks.

Hmm - by that, do you mean you'd like to set an interval like "The 1st of each month" rather than using a simple number of days? If so, I believe the answer is yes; however, the formula to achieve it is quite a bit more complicated. I tried writing something to achieve this, but I haven't quite got it yet - but I'm working on it! The main issue right now is accounting for the differing numbers of days in each month: some have 30, some have 31, and February is especially difficult with its occasional leap years. I believe I'll need to add Created Time and Edited Time properties to the template, along with a First Due property that will record the first due date you ever set. With that, the template will be able to "remember" the first date it was set, and to set the next interval based partially on that. Fortunately, due to the way this system works, you can sort of "fake" this functionality right now. Since you have to manually set the Due Date, and since Next Due is only a guide that tells you where to set the date, you're not forced to choose that exact date - you can adjust it slightly when needed. For example, if you wanted "end of the month", but an interval of 30 is messing things up on 31-day months, you can just move it one day further than Next Due tells you.

This is built right into Ultimate Tasks - in any view, you should already see the Next Due column. However, I have made one small change - instead of needing to manually set a task as Recurring, all you need to do now is add a number into the Recur Interval property. That will automatically change the Type to Recurring.
