Hi there. As I mention in the video, I do this for purposes of redundancy. I'm a lawyer by profession, and one can never know precisely when a document may be needed in the future, so to err on the side of caution, I keep my documents for a certain period of time (usually about 7 years which is the longest period of time suggested by the Internal Revenue Service, and a safe period of time). If you find that you absolutely know that you will not need a document after you have scanned it, you may feel comfortable in discarding it immediately; however, if you are at all uncertain, I would recommend holding onto it for a while. 😊👍

I appreciate that file explorer is not the best software in the world for keeping things organized, but I suppose the trade-off is that I know that it will be stable and relatively unchanged for my lifetime. I would use third party software to organize documents, but I'm afraid that it may add complexity, instead of reducing it, and that the software maker may disappear someday and then my system would be in jeopardy. There are always trade offs it seems.

The software that comes with a ScanSnap scanner is really easy to use and basically suggests its own organization system. I’m attempting to scan documents and receipts so that I can get rid of paper clutter. Is it necessary to still store the paper documents even if their scanned?

Hi Stanzi. Thank you for the question. I would say that it depends on the documents. If you are scanning documents and receipts that are 'run of the mill' like receipts from stores and banking documents (ones that are not 'originals' and which you could always request from your bank if you ever wanted to have copies again), you could likely scan those documents. not keep the paper documents at all. and you would probably be fine. However, if the documents you are scanning are originals that have value in and of themselves (like an original will, deed of title, certificate of birth, or other types of documents), I would say that the are fine to scan but that you should keep the originals too. Can you tell me, what kind of documents and receipts will you be scanning? If you have any doubt, I would recommend that you keep them for at least 7 years. By labelling your storage container with '2022', it will be obvious when 2029 rolls around that it has been 7 years and that you can likely discard them.

HELP For the life of me I cannot figure out how to do anything with receipts I've scanned. I previously had the Neat Scanner and it was a no brainer setting up for reports etc. I'm going nuts here.

Hi Monica. I'm happy to help. Here are the steps to scan double-sided documents using the iX1600: 1. Open the iX1600 scanner software on your computer (ScanSnap Home). 2. Load the double-sided document into the automatic document feeder (ADF). 3. In the scanner software, select "Scan" and then select "Double-sided scanning." 4. Choose your desired scan settings such as resolution, color mode, and file format. 5. Press the scan button to begin the scanning process. 6. While scanning, the scanner will automatically scan both sides of the document and put them in the correct order in the scan (assuming that you put the document in correctly, face-up or face-down depending on the settings in your software - just try a few pages as a test run before scanning a large pile to determine if it needs to be face-up or face-down). 7. After the scanning process is complete, you can save the file to your computer or send it to a designated location. That's it! You have successfully scanned a double-sided document using the iX1600 scanner. Please let me know if that is helpful. 😊

Hi there. There are many different kinds of scanners and software that can do this but my preference is ScanSnap desktop scanners which use the ScanSnap Home software. I have many different videos on ScanSnap scanners including the iX1600 and iX1300, as well as videos on the ScanSnap Home software. Please take a look at them if you want more information. 😊

I went through the paperless transition a few years ago. With *rare* exception, I don't keep any of the documents that I have scanned. They go directly from the out-feed tray of the scanner into the in-feed of my shredder. There are only a tiny handful of documents for which original paper copies are needed. For example, I have the original of my car title, birth certificate, etc. However, my accountant assures me that in terms of financial documents, scanned copies are entirely acceptable to the IRS, so all financial and tax documents are kept digitally with any paper originals shredded. I did make very sure to have multiple backups of my scanned documents, stored both locally and in an encrypted cloud backup. I also take periodic backup snapshots that are saved onto hard drives that are then stored offsite.

Hi Mike. That sounds like a great system, and I love your redundant backups. For the most part, I totally agree that most kinds of documents can be shredded after they are scanned. For me, because I have found over the years that I occasionally want the original of a document, I find that it works to simply keep everything without spending time to organize it, short of keeping all loose documents for a given year together. Kudos to you. I'm always happy to hear organizational success stories! 🏆

Watch this video first! If you want to start or have started your transition to a paperless home or office, this is the best presentation I have seen on the topic. I am not new to this effort, and I learned a great deal. File and folder naming conventions, storage of scanned paper after scanning, work flow, he covers it all.

This is great. As far as scanning photos, the professional photo scanning companies do not scan at the highest resolution. I would search this out. Also, TIF is the best if you are preserving longterm (forever). It is what is called lossless. =)

Can you add tags to PDF file format ? I use JPG format to scan receipt and business card because it can write tags into the metadata. Then using software like Digikam or Adobe Bridge to search by keywords.

Hi Hendra. Yes indeed. I add tags to my PDF files within the ScanSnap Home software. I'm also a big fan of Adobe products. I've never used Adobe Bridge but I've heard many good things about it. It seems that Adobe Bridge manages all kinds of digital assets. I would hope that this would include PDF files given that the PDF format originated with Adobe. Have you tried tagging PDFs in Adobe Bridge? Happy New Year. 🙂🎇

What about books and magazines of all different sizes, and a big map. I know you can take pictures of them, but there are a couple scanners, perhaps you can't get yet, that make the process way faster, like this one kzitem.info/news/bejne/1XmFvndriYZ7nW0 Also, can you get a printer/copier/scanner with an ATTACHMENT that has feeds for different sizes of piece of paper, receipts, etc. There is a difference between scanning and taking a picture of a piece of paper isn't there, scanning has more detail, better resolution.

Hi there. Thank you for your comments. 🙂 For those kinds of applications, I would suggest an overhead scanner like the Fujitsu ScanSnap SV600. Here is a link to one on Amazon: amzn.to/3y0PE9n. It can scan maps, books, magazines, newspapers, and even 3D objects. The scanner uses advanced imaging technology to capture detailed images of your items without damaging or distorting them. I'm not sure about a printer/copier/scanner with an attachment for different sizes of papers. Most of the scanners I've used have little guides that are adjustable for different dimensions.

But do we even need to keep the originals of most things if they're digitized? Obviously yes for things like birth certificates and vital records but bills and receipts? I feel like you can throw those away after digitizing right?

If you are happy with the quality of the photos, if they show all of the information on the documents, and if you have a good way to organize the images, you can definitely use your phone to take pictures of your documents. I have a few friends who use their phones to scan their receipts into accounting software like Xero and my understanding is that it works very well for them. 👍

I have so many boxes of documents I want to throw away but I need to scan them first. Unfortunately, almost all of these documents are some sort of statement with credit card receipts attached to them for reconciliation or expense reports with the physical receipts attached to them as well. Is there a scanner that can help me with scanning these documents if not by year as a batch, at least by individual statement or expense report in a multiple page feed to one PDF file without having to go back and forth between different scanners and files? I just went through 50 piles of documents avoiding the piles that have statements with receipts attached and just that took me 5 days. Looking at the rest of this it will take me years.

Hi Curt. I am a big fan of the ScanSnap series of scanners. I would look at the ScanSnap iX1600. I have lots of videos on this scanner. I assume when you say that the statements have receipts attached to them, you mean that they are stapled to them, which can be a pain, because of course you will need to take the staples out before you can scan them. You may also want to look at the iX1300 depending on your needs, because it has a very handy front return scanner which can make for really fast scanning of receipts. Again, check out my video in which I review this scanner. I hope that this helps. 😊👍

@@SeanDillman Thank you, I will look at your iX videos. Yes, the receipts are stapled to the statements but that isn't the biggest problem. It is how do I scan all the pieces in a single feed stack to the same pdf file and not trying to piece various scans together. And then there are also some statements that have double sided information too. My scanner can handle that currently but not also with the thin paper of receipts and their narrow width.

Your videos are great! Very through. I've been a paper junkie forever and I'm trying to begin to break old habits. Now, it's an old dog, new tricks learning time. Just getting started with a ScanSnap ix1600. So, when scanning years of paper receipts, to enable OCR do I just click the "Option" button under File format & then check output mode "box" for "PDA/A1-b" to make all receipts scans in small batches OCR? Will this setting then remain permanent from batch to batch & day to day until manually changed in the future if needed? Also, it seems that type of document on receipts defaults to "personal", however, can that be overridden to default to "business?" Otherwise, it's appears to me that every "business" receipt will need to be changed one at a time. Finally, if I add one or more tags to receipts, other documents, business cards, photos, etc, then how do I "find" all receipts, other documents, business cards, photos etc identified with a particular tag or tags? Because this way you have digital copies that you can easily file and locate on digital devices, including on any personal computers, laptops, tablets, smartphones, etc. I can't tell you how many times I have been out of the house, or away on vacation, and I need a copy of a document, and I'm so glad that I have the digital copy available through the cloud on my phone. As for the digital copies, it doesn't come up as often, but I do occasionally realize that I want or need an original document, and I in those situations I'm glad that I still have it and that I didn't throw it away. 😊👍

Many thermal receipts can be brought to life by using a hair dryer and they heat sometimes brings it back. I followed all the steps to get your document template but it says to email you and I can't figure out where your email is.

Thank you-your video really helped with logistics and the human side of getting started with a personal system of scanning. I have a Fuji 1600 that I have to do a work-around to use with FileCenter Pro DMS because Fuji 1600 doesn’t have a Twain driver. Although it scans well, it’s very confusing to work with. It would be nice to get your template as a guide to help me get organized. Thanks again, Jan

I have been scanning all my documents for years and have had a difficult time trying to find things using windows search as you have done in the video. I went through my documents and found that some of them were not OCR'd, I then OCRd's them and windows 11 search still does not find anything I search for Is there a setting you need to change to enable to search within pdf?

Hi Geri. I'm sorry to hear that the search isn't picking up the information. Will you try these steps for me? 1. Hold the Windows Logo key and press the "E" key to open a new File Explorer window. 2. Click where it says "View" 3. Click where it says "Options" 4. In the new window, click where it says "Search" 5. Can you tell me, do you have a checkmark in the box next to "Include system directories"? 6. Can you also tell me, do you also have a checkmark in the box next to "Always search file names and contents (this might take several minutes)"? If you don't have checkmarks in these boxes, can you try to check them and try a test search?

I am just beginning my journey of sorting and filing my documents. Some go back years and they are important to keep them. The veterans administration loses everything so I have to keep those files. Should I take a class and is there such a thing? how do I find a class that teaches a filing system or digital or scanning documents? What is the latest technology for recordkeeping?

To search through your documents, do you have to have them saved to Scansnap? If I want to have my documents searchable but saved on an external hard drive, what is that best way to go about that? Thank you!

Hi Kari. I do it the way you described. I scan them using the ScanSnap and make sure that OCR (optical character recognition) is turned on when they are scanned so that I can search the contents from Windows explorer. I have my documents saved to the cloud and on external hard drives as well for redundancy. 😁

And then you back up your scan snap files to the cloud and external hard drives? If I'm understanding correctly, I could skip saving it to my computer all together, save it to the external and still be able to search the document. Is that correct?

I have it set to scan to my local hard drive which is also connected to my Microsoft OneDrive account, so as soon as I scan something, either as a PDF or JPG file, it is automatically uploaded to my cloud drive too. I later manually copy-and-paste my files to external hard drives to back them up there. If you were to hook up an external drive, and then set your scan destination folder to that external drive, it is true that you would not need to save it to a local drive on your computer; however, please keep in mind that an external drive cannot be attached directly to the scanner so when using a ScanSnap scanner, you must be running Windows or Mac. There are other scanners on the market that can scan directly to external drives but I haven't gotten into those yet. 😊

Hi Will. It depends on what you'll be using the file for. I talk about this at length in my 'Lawyer Tech Course Video'. Basically, I distinguish between Internal Use naming conventions (files that are for the eyes of me and/or my staff only) and External Use naming conventions (documents that I want to be presentable because others may see them). Sean, does this connect directly to my computer or will I need to use a thumb drive to connect to my laptop? And is the FUJITSU SCANSNAP iX1300 still the one you recommend? The one in the video looks different than the one listed in your comments.

Hi MIG. The scanner will connect directly to your laptop. There are a few different scanners that I use, depending on what I am doing. The main ones I use are the ScanSnap iX1300 and the ScanSnap iX1600. Please take a look at my review videos for each to see what is different about them and determine which may be better for your needs. =)
