I think it's part of Google's business model to put out products that need an ecosystem of partners to help the user's. For instance, Google doesn't do any migrations from, let's say Microsoft, to Google Workspace. This is all done by Google partners. But whatever the reason: it gives me the chance to run this KZitem channel which makes me happy. 😀

If you make your calendar publicly available everyone who knows your email address will see it. So they don't need any link to your calendar. Knowing your email address is all that is necessary.

Thank you I knew how to share a calendar but it didn't ever appear in my mother's account and I didn't know I had to go into her email and add the calendar from there, it took less than 5 minutes for the calendar to appear in her Google account as we use Samsung calendar which syncs with Google calendar

This video is about how co-workers can share their Google Calendar with each other. These accounts and calendar have been set up by a Google Workspace Admin of the organization. So this video is only partly what you need because you first have to create the calendar and then share it with your band mates. That's the way it was designed. They will have to either subscribe to it or click on the sharing link that they get by email. Either way, they will have to become active. Your calendar won't automatically show up in theirs.

I have just set up a Google shared calendar for my elderly mother with my siblings. The problem is, they can see what I have added to the calendar but I can't see what they have added to the calendar. There's obviously something I not done correctly. Each of my siblings has received and accepted the email link and have been given 'Make Changes and manage sharing' permissions. I obviously have the same being the person who set up the account. As I already mentioned on another reply to your question, I need to understand the situation better. Did you add the invite to your calendar and then invite your manager? Looking through the Calendar Support documentation by Google I saw this: " If you delegate your calendar to someone else in your organization, you won't get a notification when that person changes an event on your calendar." Maybe that explains your situation?

I hope you can help. I've successfully shared my calendar with the "Make changes and manage sharing" selected. All of my reservations for hotels are locked and the person cannot see them. I don't understand what you mean with "locked". Can that person access your calendar? Can they make changes to existing events? And how were these hotel events created? Were the auto-generated from emails you received?

@saperis yes .. they have full access to the calendar, but all reservations that push over from expedia, etc. are locked automatically, and only the originator can see or modify them. The instructions I posted above fixed it.

If you are using a Google Workspace account managed by your employer or school then you can't do anything. This was set by the administrator and can't be changed by users.

Well it depends. Have you added the birthdays yourself as events to your calendar? In that case they should see them. Do you mean the birthdays that appear in your calendar by themselves? Those are from your contacts and only visible to you.

With "see private" events do you mean they see them in other peoples calendar? That is normal. What they shouldn't see is the title, description and guest list of the event. But the actual event is visible to everyone.

This is the default behaviour in Google Calendar. There is no built in way for them to see the different color you've added to certain events.

I was using a Rode lavalier here but I can't remember the exact model. rode.com/es/microphones/lavalier-wearable I had a green screen in the background to do away with the background. You can either share a calendar with your students or not. But you can't share only certain event types with your students. It's either all or nothing.

From what you are explaining it sounds like you made a team calendar. If your boss changes something in the calendar you should see it reflect on the team calendar when you check in Google Calendar. You can import any calendar into Google Calendar. Here some guidance on this: www.techwalla.com/articles/how-to-sync-a-yahoo-calendar-to-google But keep in mind, this is only an import. So if you want to keep your Yahoo & Google Calendar in-sync you'll have to periodically import your calendar.

I have to address this questions with multiple answers. 1. People, who need to add/modify your appointments, need a Google account to do so. 2. If you want to make your calendar public you can only give them viewing rights. So what you are trying to achieve is only partially possible.

What does "they can't see what's in my calendar" mean? They can't add your calendar to their calendar view? If you're in the same organization they should find you in the company directory and add you like so. They can't see the details of the events on your calendar? Then you have to give them the right to do so in the sharing permission.

If you share a file from your My Drive you will have to grant every single person access. If you create a Shared Drive where all your employees are members they will automatically have access to all the files within the Shared Drive.

From what I can tell, you can't change the timezone for a calendar that has been shared with you. You can only change it for a calendar that is yours. But I interpret your question as you not knowing the actual name of the email user and wanting a way to identify it. But out of the box, if I create a random and cryptic email address as well as a cryptic name, there is no way to extract my actual name from that account. I you want your team members to see and modify the team calendar you will have to grant them permission to do so. If you want to schedule meetings directly in a team members own calendar they will also have to grant you permission to do so.

Probably. It depends on the default settings of your organization's Google Calendar. This is something you can easily check in your own Google Calendar's permission settings.

No, I don't have a solution. According to the Google Calendar documentation such an email should be sent to the person you shared your calendar with. But there is no way you could trigger such an email yourself.

What an admin of an organization can do always depends on what tools they have installed and how much know how they have themselves. So there is no definitive answer to that question unless you actually ask your own admin.

It looks like Tasks can't be seen by others, even when you have shared your calendars with them. Is that correct?

Sorry for the late reply. Yes, that is correct. They can only see your events and neither your tasks nor your reminders.

It can take up to 4 weeks until new features are rolled out. All my videos are made with a Google Workspace account. So what you are seeing in this video is me using a Google Workspace account type.

Ah, misunderstood your question. The changes to the calendar usually are visible instantly. Sometimes it might take max. 1 minute.

You don't share with specific devices. Instead, you share with Google accounts. The person you shared your calendar with then has to make sure to download the Google Calendar app (available for iPhone & Android).

Can you tell me if there is anyway you can "unsend" a calendar? Let's say it is an employee who you shared your calendar with but they no longer work at your company, for example.

If you have shared your calendar with that person directly you can delete them from the section "Share with specific people" in your Google Calendar settings. If you are using your organizations Google Workspace account though, and the Admin has setup your calendar to be shared organization wide, then you can't "un-share" your calendar with only specific people.

If you all are using a paid Google Workspace account in your company then you all have a centrally administered Google Workspace account. You could delegate your calendar to everyone in your organization. But I think that‘s not a good option as they could create events or delete events in your calendar. Or even decline calendar invites.

The default behaviour is that you share your calendar with specific people, via their email address, and then they receive an email with the link to your calendar. If on the other hand in your (Google Workspace) organization the calendar is shared with everyone, they do not receive a notification.

I'd like to make a distinction between my 'work meetings' calendar and my 'work internal' calendar. Where the 'work internal' calendar is where I book my personal work. For instance 'writing a blog article'. If other people then look in my calendar they see that I am not officially in a meeting, but that I am working on a blog article so I wish not to be interrupted. Do you think this is without sending my whole office an invite to my calendar? Cheers!

Yeah, I’ve now shared the ‘public’ calendar link with the colleagues I work with the most. Still feels like a big of a workaround. Would have been nice if I could have merged those two calendars, but well 🤷♂️

Thank you for this detailed video I have a question I'm the owner of a google calendar which I want to share with my community (over 10,000 people). I want them to see all the details, but I also want them to see the colours that I set for every event When I set the "Make available to public - See all events details" they can see the events and the details of every event, but they can't see the original colours. They can see the same colour for every event Is it somehow possible to make it so they can see the colours that I set for the events? As the colour is very very important Thank you!

Sadly, you can't change the color of the events for your community members. You can only change it for your own view.

Hi Jason. Like in my video tutorial head over to the settings of your Google Calendar. Scroll down to "Public address in iCal format". It's explained that you have to make your calendar public in order for the iCal sharing to work.

You can only add events to someone else's calendar if they give you the necessary rights to do so. That means that person has to give you the following rights on their calendar "Make changes and manage sharing."

Hello Chanel Do you think we can have confidence that everything we add into our Google calendars will still be saved inside our Google accounts 10-20 years from now? For about 20 years I’ve used old paper diary’s to record jobs in our business, all those old paper diaries are stacked up on a shelf like encyclopaedias, so we’ve still got all that data. But I’ve recently ditched paper diaries completely and switched to Google calendar. I mean, are tasks and events still saved in there years later, so u can search and look back ?

Hey there. Google saves the events in your Google Calendar for ever according to this support answer: support.google.com/calendar/thread/818677?hl=en&msgid=820393 You also have the option to export your calendar. You'll find this feature in the calendar settings. But please be aware that you're storing data on the servers of a company. Will Google and that server your data is stored on still be around in 10 years? I sure do hope so! But no one can guarantee it.

@@saperis thanks Chanel. Yeah I’ve been planning to test the export feature, and see what happens . At the moment I’m typing all our days jobs into one Task. We might have 5-10 jobs in each day, but all of them go in one task. I’m assuming tasks can also be shared, exported just like events? Yes can we really fully trust Google to be around forever? 😄 Maybe in the future it’ll become mandatory to pay for your google account 😂 I’m already paying a monthly fee, cause I have a ton of stuff in google drive.

On a positive note, on opening up old gmail accounts that I hadn’t used for like 10 years, all the email history was still saved in there😄 Its never deleted. And they’re keeping all youtube comments forever... it seems. But how long has google calendar been around for? Do you know anyone who’s been using it 5 or more years? Is all their data still there?

Google Task's are only on an individual level. So, other than through Google Chat Rooms, you can't share tasks with other Google accounts. You might want to consider getting a Google Workspace account if you're using the Google services for business purposes: workspace.google.com/

My private Google Calendar goes back to March 2017 and still has all the data. I've read of other users online that have had their accounts for much longer that that and all their events in Google Calendar are still around.
