Hi Gary. I used time machine for my external drive for the last 7 years and because of that I did not use iCloud. My external hard drive recently stoped working the other week so I took it to a computer repair shop and they were unable to recover the hard drive and/or any of the over 6000 pictures I had on that hard drive, so they are gone! I highly suggest using both! Lesson learned for me.

Thank you for explaining backups to people and thanks for not talking too fast. I have spent my entire working life in IT, working 24 hours a day 7 days a week, mostly on mainframes. We used to spend almost an entire shift every day just doing backups. You do backups in the hope that you will never need them. People should also consider a surge protection power board with enough battery backup to shut down their system in an orderly fashion, to avoid corruption of the disk drive.Which can happen if he system is writing to the disk, particularly the disk directory when there is a power spike or power sag.

I used to have a Time Machine 10 years ago coupled with Airport. That has gone so I just didn’t use one anymore. But you convinced me to shape up and get one. Purchased a capacious SSD and will set it up very soon. I know you have it covered in a vid. This is why you have a guru!!

Time Machine, though not promoted that way, is really a device to preserve the states of the operating system, an inconceivably complex job done any other way, and to get back to that state in case of an inscrutable problem. It will typically be a single errant setting that requires this reset, and the user could go mad trying to find it. Time Machine is brilliant at this. User documents are also preserved but it is more efficient to simply archive multiple copies of a complex document, which is such a good idea that many apps automatically do it for you. The OS and all its settings and prefs would be ridiculously difficult to store and restore without Time Machine as the OS can easily contain half a million files the majority of which a user never even sees.

What isn't widely known is that a system snapshot (done every hour) to the Mac itself can also be used by Time Machine as restore point or for retrieving older versions of from earlier that day.

You can already use a backup service like backblaze for that. Cloud storage isn't priced efficiently for online backups (different types of servers for different purposes).

It is also preferable to back up tp a spinning disk as solid state drives have a tendency to fade over time, magnetic disks don't unless you pass them through a strong magnetic field as in an MRI machine.

Hi Gary. Do you recommend using iCloud Drive as a way to free up disk space on a Mac? For example putting much of your videos and Projects and audio in the Desktop or Documents folder and letting iCloud drive optimize the storage. It seems like storage optimization is a 3rd use that people want from the cloud along with backups and cross-device-sync. For example: my Ableton Live projects: I don't want them on my iphone, but I want them to be offloaded to the cloud to free disk space. Thank you in advance.

I currently just have a windows PC, but I plan on getting a mac by the end of the year and I tend to do a manual backup to a 64GB USB drive (i don't back up everything as 99% of the files on my computer are ones that I don't need and never get around to deleting)

iCloud is a cloud syncing service, NOT a backup service. I use iCloud for my files, but it isn't the same as a backup. So I use Time Machine and Backblaze for backups. See macmost.com/icloud-is-not-a-substitute-for-a-time-machine-backup-with-your-mac.html

To backup my files I use a memory stick, or rather two memory sticks: I like to have a second copy. Also when I bought my MacBook and I was intended to convert from PC to Apple, I copied everything on the PC to the MacBook using a memory stick so all changes made on the PC or the MacBook go on to both memory sticks. However, one problem is that many files written on the PC can’t be read on the MacBook because it doesn’t have the software.

Can run Windows on a Mac (MacOS) using a virtual machine app eg Parallels, giving you both “worlds” at once. Or some (many but not all) Windows apps can run within CrossOver “bottles” (and their tech support can sometimes help resolve difficulties with “troublesome” apps).

I’ve thought of using Parellels and Boot Camp, but when I looked into them I found they require too much memory on the hard drive. I have only around 25 GB left which is not nearly enough. I should have researched this when I bought the MacBook and, of course, paid quite a bit more.

Joe I had not heard of Backblaze before your Video... but I downloaded it and it seems awesome. I have used Carbonite in the past and.... well it did upload all my stuff but to be honest when I tried to see what was on their site... it was written in gibberish... and as a result I just discontinued my subscription. I like the simplicity and directforward manner in which Backblaze keeps my files. I'm currently performing as Voice Artist on a 600 page book and I don't want to lose a single file... so I went to your site looking for backup advice. I've got Google... I've got I-cloud, and the Microsoft backup plan... but the simplicity of how to use any of these is my concern... Carbonite did duplicate your Hard Drive.... but getting the info back down was confusing at best.... I cloud seems to save only what's on your desktop.... how aggravating is that? I have important material on External drives for the meantime and have used Backblaze to send that material... but how do I say to Backblaze.... hey whatever is on that disk I want you to grab it and duplicate it without me having to tell you every time????

This video didn't explicitly answer the question which led me to watch it which is, does Time Machine back up files in your Documents and Desktop folders if you've configured them to be saved in the iCloud Preferences? At the end, you imply that you're doing this but it would have been nice if you had come out and explicitly said, "Time Machine knows to back up your Documents and Desktop folders" even if you're synching them to iCloud," and then saying if we need to do anything specific to ensure this happens, if this is actually true.

Apple certain DOES make and support Time Machine. It is an important part of macOS! (I think you maybe mean "Time Capsule," the old Wi-Fi hub + hard drive combo).

Hey Gary - thx for the overview. I use both TM and iCloud but you piqued my interest regarding BackBlaze. Do you have a tutorial just on BB? If your computer / HD were to fail which would you use to do a full restore, TM or BB?

I don't have a tutorial on Backblaze as there's really nothing to learn. You just follow a few steps to install it and set it up and it works in the background. If I lost my internal drive I would of course use Time Machine to restore since the drive is right here which makes it the fastest way. But if I lost both my internal drive and my Time Machine backup (fire, flood, or any disaster that would take out all the hardware in my office) then I would fall back to the online backup. That's its purpose, being off-site.

Here's my set-up for a 2019 iMac with a 500GB SSD Time Machine: backup everything except Apps, external drives. Using a fast Crucial 1 TB SSD. iCloud: photos, certain important files/folders. Use ARQ backup software. Yes I have iCloud Photos enabled but am paranoid :D Google Drive: same files/folders as iCloud, photos, other larger folders. Use ARQ backup software. Paranoia continues :P 1TB external drive: Photos, Music. Movies* (while we can redownload movies, if Apple loses the rights to the movie, it'll no longer be available for download. presently have 4 movie credits for free rentals as compensation for 2 movie no longer available for dl.). Use Get BackUp Pro 3 software. Clone: cloned my iMac's drive onto a Samsung 500GB T5 using SuperDuper.

If I Time Machine back up my iMac and I do same with my MacBook on the same external drive, am I overlapping one on top of the other or will they have their own full separate back up of each? Therefore can I feel safe to restore my iMac or MacBook without issues.

They would be separate. But you may find it easier to use to separate ones so you can just leave one attached to your iMac all the time. And it will also give each more space. That's what I would strongly recommend.

With the iPhone and iPad, I’ve realized settings do transfer when going to a new device, I don’t have to do much at all if anything to reset things. Why doesn’t Mac restore everything like settings, the same way, when getting a new Mac, or restoring, when the iPhone and iPad does?

the difference might be that in your MacOS you can install literally thousands of third-party apps not necessarily from appstore. That makes for lots of unexpectable data right there. iOS devices can (and will) only handle the Appstore software, which reduces the number of possible variations and data volume to be stored by a lot. Now seriously - recently destroyed my iPad and got a new one. Although I had my iCloud backup, i have lost many files. It only remembered some files (mostly Apple-apps files). Many local files disappeared, not talking about settings of some of the 3rd party apps.

Let’s talk about when timemachine does not work it keeps telling me backup failed. Even after reformatting the time machine. I had to go to SuperDuper! and nightly tell it to update changed files.

Yes. Unless you are using "Optimize Mac Storage." If you are using that, then you first need to download file on your Mac. It may do so automatically (since it is a recently used file), or you can just open it, or you can Control+Click and Download Now.

I mean, if you are using a notebook with a limited amount of storage and let’s say 2TB of iCloud storage, you have to activate the „optimize storage“ option and you loose any way to backup your files from iCloud?!? @@UlliPetersen No, not really. Your data is protected, of course, if your MacBook disappears. You can just log in with your new one. But if you change or delete a file, there is no way to revert to it unless the app has versioning (like Pages, Numbers or Keynote). There is a way to recover accidentally deleted files (within 30 day) at iCloud.com.

You don't "need" it, but you can still do it if you want. I use both Time Machine and Backblaze. The latter gives me an off-site backup in case of fire or something. I make my living with my Mac so it is important to me to have an off-site backup.

Yes. It will back up if asleep. Of course after the first hourly backup, if it is still asleep then it means you aren't changing anything so there is nothing new to back up.

Hi Gary, just watched the video and as always great info. I have an iMac with 1TB hard drive and have been using time machine for two years now on a 1TB hard drive which has 57GB of space. I think that it is about time that I consider buying a larger drive for time machine. Would you suggest just saving the current TM hard drive (only connecting it to the computer if needed) and starting time machine from scratch with a new hard drive or, buying a larger hard drive and then copying my current time machine data onto the new hard drive so that I have all the history on one drive, if that's at all feasible.

What I would do is to just buy a new drive (2 TB at least, but 4 TB won't cost you much more at all) and start a new backup. Keep the old one around for a while as-is in case you need it to restore something and then eventually repurpose or retire it.

So time machine will not back up files on iCloud. So if I have files on Documents/Desktop with iCloud enabled, time machine will be useless (talking about the documents and desktop files)? It will if you aren't using "Optimize." Optimize means that not all of the files will be local all of the time. So Time Machine can't back up what's not there.

For years I've used (on Windows) a NAS drive at home with RAID for file storage. I have it configured to automatically upload to OneDrive. Thus I have "belt and suspenders" -- local RAID storage that protects against a single drive failure and cloud storage in case of local disaster. I figured if my computer died or was stolen -- or if I got a new computer -- I would simply go through the relatively short period of starting fresh with a new computer and loading apps and configuring them. Starting from scratch has its merits IMHO. I am switching from a relatively new Mac to a Studio when I can get one. At this point I would rather simply restore the "old" Mac to the new Studio. Sounds like Time Machine is the way to do that, correct? Does Time Machine use NAS drives for backup? I have gobs of room on my NAS and would prefer not to get a second physical drive.

Hi Gary. I just restore my mac to its factory setting, but before that i save all my files to a time machine. Knowing that it is save already so i did the restoring my mac. But when i had to restore my file from time machine it is empty and I can’t do anything to restore my file. If I was not able to save it to a time machine is there any other way to restore my files? Not sure what you are trying. When you set up the Mac after the reset you should have been prompted as to whether you wanted to use migrate an old Mac from Time Machine. Did you do that? Otherwise, run Migration Assistant on your Mac now to do it. If that isn't working, then contact Apple Support.

Why would I need a "local" backup and an online back up? Whats the difference? I use iCloud and BackBlaze and I do have an external hard drive but it is not time machine, its just a random hard drive. Does it need to be time machine?

One reason: Time Machine does an incremental backup. So if you make changes to a file every day and realize that you needed something you deleted a few days ago, you can go "back in time" to that version of the file. Also, in case of a problem accessing an online backup is difficult. It will save you, but not easily. A local Time Machine backup can have you back up and ready to go much more quickly.

Gary, you are missing an important part here: iCloud is not a substitute for TM **for power users**. For regular users, it is still be better than no backup at all. Because enabling TM is already asking too much of 75% of all Mac users, even more so retrieving a file from a TM backup.

@@macmost : IIRC macOS will only offer to do TM backup on a fresh disk if it is formatted HPFS or APFS, correct? So if you didn't happen to buy one of those rare pre-formatted disks for Mac, you would have to format a disk. I guarantee you that more than 75% of all Mac users are overburdened with that task, don't you think so too?

In the past there were special frontends for retrieving photos and mails where you could select a photo or e-mail from a preview. Does anyone remember? They removed it around Mountain Lion or so.

Even though I don’t understand the reason myself, I think the only way is to use an external drive. Make sure the external drive has more storage then your total macs storage, so the drive lasts a long time.

I don't understand why Apple doesn't allow Time Machine on the MacBook Pro laptop to backup to Apple's iCloud. This should be easy for Apple to allow. If you need more iCloud space, you simply pay for more iCloud space.

That could be a separate service that Apple could add to iCloud, yes. But you can already get that with third-party companies too. So why not just use those third-party companies if you want an online backup? A think a lot of people are still living with bandwidth limits and slow connections, so an hourly backup isn't an option for them.

I use Acronis to backup the Windows computers and also the MacBook Pro laptops. I’ve recovered Windows computers before with Acronis, and before that with Norton Ghost. I’ve recovered MacBooks with Time Machine. But Time Machine “should” have an iCloud backup option. It’s risky to only backup to a local drive. Apple is brain dead for not providing a cloud backup option for Time Machine. I’ve also backed up and recovered hundreds of Windows servers using other imaging software. I’ve recovered iPhones several times, and that’s a pretty smooth process to recover from the iCloud backups. One thing that’s often overlooked is to test your recovery process. This is a pain to do on laptops because the internal hard drive is not easily swapped out with a “test recovery” hard drive. Dedicated test recovery laptops are an option for recovery testing, but that’s more hardware to buy. It’s really tragic that most people don’t backup anything, then they are shocked when they lose files. But most of the time after those people are burned losing files, they still won’t backup their computers!

So do you mean from the Photos app? Or from iCloud Drive. Both keep deleted items around for 30 days. In the Photos app, look for the Recently Deleted album.

@@macmost ive deleted everything from iCloud and also the recently deleted album, but i want to know if my passport external hard drive will restore them.. (i.e does time machine save iCloud photos..) cheers!

@@bringupthesun8986 So you deleted them and then cleared them out from your Recently Deleted? But now you want them back? How did that happen? Well, all you can do is look. If you had your Photos library set to "Optimize" them you probably don't have them anymore. But otherwise, you may be able to restore your entire Photos library from the Pictures folder from before this happened. Take a look.

@@macmost I think i had it set to optimise :( because there wasn't enough space on the mac, so i assume this means that time machine didn't backup full versions of pics/ vids? As for how it happened i blame it on my technological naivety and unintuitive system that is iCloud - i deleted all my photos from photos app, thinking that would only delete them there, but ofc it wiped them off the iCloud drive too. as you say, i can only look and hope they're there when I'm home

Hey Gary, If I have my documents and desktop folder in iCloud Drive, do you also need to back those up to the time machine backup as well?

@@macmost Correct but if I instruct Time Machine to backup the documents and desktop folder (both stored in iCloud Drive) to it, is it going to download everything to my Mac and then back it up to the external HD? That's where I'm confused.

@@josehoward No. Only items cached on your Mac will be backed up if you are using the Optimize feature. Bit of a problem, but there is no good solution.

@@macmost I'd say that's a huge problem. Nice video, but that's certainly something you missed. A Time Machine backup is not downloading and backing up any files that you don't already have downloaded from the cloud. I mean that's a really, REALLY big thing that needs to be mentioned in any video or discussion about iCloud and Time Machine.

Hi Gary, I use the time capsule for my Time Machine back ups but a friend of mine suggested I use an external hard drive instead of the time capsule because the time capsule is dated. Is that correct?

Time Capsule isn't made anymore. But if you have it and it is working fine there is no reason to abandon it right now. Just be prepared that a future solution would probably be another type of network drive or a directly-connected drive.

I use a Time Capsule too and it works great for me. I know there will be a day when I'll have to move away from it but, as Gary points out, there's no reason to stop using it now.

Is it safe to unlink one of my iCloud devices since I have Time Machine working? I also purchased extra iCloud storage but it’s nearly full and don’t want to buy more if everything is being backed up on my 4TB hard drive.

Not sure what you mean. Unlink what device, and why? iCloud is not a backup, but a way to have access to your files everywhere. If your iCloud Drive storage is almost full, then maybe consider archiving old projects you don't need anymore to an external archive drive and deleting them from iCloud completely.

macmostvideo sorry lingo not up to par. I meant deactivate. Most of my storage is taken up by my documents on my Mac and my cloud is almost full. However I have a time machine running on my Mac too. So my question is if all my files and pics etc are being backed up on my time machine, is it ok to deactivate my Mac from my iCloud to free up space?

@@jodiea_14 I'm not sure I understand what you are asking. If you are no longer using iCloud, then of course you'd not be using iCloud space. But aren't you using iCloud now to see your files across your devices? If so, then deactivating will turn that off.

Hi Gary. Thanks for your great video. I was wondering whether you could help me with my storage/syncing dilemma. I have several Apple devices and computers and I appreciate the ability of syncing Contacts etc. via iCloud. So far, I have not been using iCloud for my documents but now that I have a MacBook Pro as well as my iMac, I am ready to pay for extra storage space on ICloud to allow me to sync my documents on the two computers. However, I am concerned that my Time Machine backups will no longer be complete if my documents are not locally stored on my computers. Is there a way to have both local and iCloud simultaneously for all the files?

I assume your iMac is the one being backed up via Time Machine? If so, leave the "Optimize" option turned OFF on the iMac. Then all of your iCloud files will be on your iMac all of the time. So your Time Machine backup will get everything.

Actually, each computer (the iMac and the MacBook Pro) has its own external Time Machine drive which is used to back up the computer's internal drive, as well as another external archive drive used with each computer. Now, I don't need to synchronize all my Documents on these two computers and I read that there is apparently a workaround to exclude certain folders from syncing by adding '.nosync' to the end of a folder name. If that works, I presume I could exclude the synced documents in the Time Machine backup of one of the computers since they would be the same on both computers? This is all new territory for me and I am still a little confused by several aspects, like whether to use "iCloud Drive Desktop and Document' syncing or dragging specific folders to the iCloud Drive or both?

Just put what you want to be on both Macs (and available elsewhere) in iCloud Drive (use Desktop and Documents, yes) and things you only want to be local to that Mac in a Local Documents folder in your Home folder. kzitem.info/news/bejne/z6N83YKqb36lmIo

@@macmost Thanks Gary! Once again, your advice is the best I've found. I watched your video and I will definitely follow your suggestion. However, there is one question for which I still haven't been able to find an answer. As I mentioned in my first comment, I have been using iCloud to sync my Contacts between my devices and a few days ago, I noticed that I had lost some content from the notes of a particular contact. When I tried using Time Machine to restore an earlier version of the contact, I discovered that "No cards" appeared for the earlier dates. It appears that this is because they are on my iCloud but not in my computer and therefore Time Machine can't access these and that my only option is to use the Restore option in my iCloud account which only goes back about a month and only restores all the contacts at once! Not an appealing choice. There is one thing I haven't tried yet which your first reply suggests. If I turn off the Optimize option on at least one of my computers would Time Machine then work for the Contacts on that computer? Is this the correct solution and is the Optimize option an "all or nothing" operation for iCloud which I can work around for files that I don't need to sync like the "Local documents" folder you suggested?

My macbook has a 250gig drive and after backing up my iphone it already used up almost 200gig. If I have successfully backed up in time machine, can i delete this iphone backup to free up space and get it back in time machine in the future if needed? Thanks in advance.

Not reliably, no. If you delete it from your Mac, then that tells Time Machine that the file isn't needed and eventually it will delete it there as well. Plus, without the file on your Mac, it can't be updated and maintained, so it isn't a very good backup anyway. Since you have a small drive on your Mac and need to back up a lot of data on your iPhone, you'll probably need another solution like using iCloud to backup your iPhone instead.

@@macmost Your answer is a clear indication that TM is an unreliable solution. I stay as far away as possible from it, after it randomly and without permission reformatted my external drive so that I lost all of my PC files I had backed up after migrating to the mac. How can you promote it as a solution if it won't "reliably" be used?
