The only disadvantage is that I can't share this with my family :) They consider me as a weirdo for my excel affection. Watching this and sucking the information is comparable to a great piece of artwork in a gallery *sigh*. Thanks for seeing and feeling your ambition and passion in excel. Using and applying the functions like a piano player is interpreting music by using the commonly available tools and putting them together into something never been there before. Hoping for more...

It would be amazing to have a tutorial on building a construction s-curve and integrating it in the dashboard. No one does any kind of tutorials including s-curve which is essential in project management and Microsoft Project does not have it built-in

Hi, I'm looking to use this for a project I have. I'm running into a problem with the Dashboard, when I Refresh the data several of the headers and data in the pivot table disappear, any help on how to correct would be much appreciated. On a tight timeline for this report. The columns headers and the data that vanish are the Start Date, Completion Date, Duration, Days Completed, % Complete. The Overall Status bar chart and Days Completed Donut also disappear but figure that's because the columns they're depending on are cleared out. Figured it out, table size needed to be updated! THANKS

Hello Mynda, I am truly impressed by the capabilities that Excel offers. I am particularly surprised because it seems I don't know much about Excel. Thank you very much for the detailed step-by-step explanation. Since some of my projects are quite lengthy and span over several weeks (and months), a representation in calendar weeks would be extremely helpful and clear. I am sure that it would be easy for you to add two buttons that enable a toggle function: one to display the entire days, and another to display only the calendar weeks. This is just a hard keyed value. You'd have to come up with your own way of measuring project completion based on how you quantify it.

If you download the file linked to in the video description and open it in your version of Excel, it will automatically convert all formulas to your region settings.

Excelent tutorial / training!. I am running into a problem when changing the Dates in the data tab, the dashboard dates get me an error #NAME? in all the dates K5-AJ5. =_xlfn.SEQUENCE(1,26,MIN(Table1[Start Date])+Workings!P2,1) is the problem, I found that _xlfn is an error from excel when you are using newer formulas in older versions that still don't have it. My excel doesn't have the function SEQUENCE Any help or recommendations?

I just made my own project management dashboard with all of the same stuff and more but had to do it all manually! I wish I saw this first, it could have made my work easier. Probably not easily. You'd have to write formulas in the source data table that references the dates of previous tasks to calculate the dates for the current task.

Hi Mansi, you're not likely to find an answer to this question because the needs from one recruiter to the next will vary based on the role they're trying to fill. IMO it's best to have a range of Excel skills that you can draw upon in any role. This will give you the best chance of finding a job. I aim to do this in my courses and include the option to ask questions if you get stuck when trying to implement the techniques in your own work. However, one important point has not yet succeeded and I hope you can give me a tip: Is there a way to create a "slicer" that allows me to hide the completed tasks in the pivot table? I tried to use the progress slicer, but in the worst case this shows hundreds of values... Best would be if I could choose between "not started", "in progress" and "completed" -- analog to the overall task progress chart

If you have 365, then you have SEQUENCE. You can type =SEQ in a cell and it should appear in the list of functions available. If not, then you haven't got 365 and you should use the alternate formula in the video description. Hi Mynda, I have a question, how can we lock some data that has formula and text in Excel, so that I can delete all data except formula and text easily by pressing ctrl + A, then delete all. I still not found the fastest way for that.

You'd have to copy and paste the results of the formulas as values so they no longer reference the source data. Then you could delete it. Alternatively, you could create a PivotTable and then delete the source data from the file. It will still reside in the Pivot cache, but it won't be on a worksheet in the file. Hmm, is it possible to do the same, not with days, but hours and custom day length? Because my project, for example, needs 132 hours, and every day I have a different amount of hours available to go into the project, but excel always calculates with 24h each day, so I always get the wrong End Date and Time.

Is anyone else getting blanks where TEXT should be? Doesn't seem to be affecting numerical values or percentages... Also, the (Gannt) simply will not display a (6) day Work Week. Still populates fill for Saturday and Sunday. (I entered "11" for the weekend option). Thanks in advance.

Brilliant.. definitely going to use parts of this. Can I also point out the very casual "absolute reference" fix? I consider myself to be a bit of an excel nerd, but never knew F4 could've saved me literally hours and hours of pfaffing about and frustrations, fixing $'s in formulas, especially in the conditional formatting box.

Amazing videos with wonderful insights into Excel. I just downloaded the file for further inspection but there seems to an error. When I open the Dashboard and use the scroll back, the SEQUENCE results in many errors across all of the values on its row. I checked the SEQUENCE's fomular bar and it is "=_xlfn.SEQUENCE(1,26,MIN(Table1[Start Date])+Workings!P2,1)". I am not sure if this was a mistake or something wrong with my 365 Excel version.

The xlfn prefix appears when you open a file in a version of Excel that doesn't have the function. If you have 365, then you just need to update it to get the SEQUENCE function as it's now generally available in all versions of 365.

I've been looking at other KZitem videos on Project management Gantt charts as I'm currently undergoing a Site Management course. This video is indispensable to me for a particular unit I'm currently studying. Your formulas are far easier and simplistic to understand than many of the other videos. This is great, thank you! Your tut directed me down the right path. I had been asked to format the project task list into a timeline with little instruction for how visually it was to be. At least now it's functional and stakeholders can visually see the timeline of project action items juxtaposed to Milestone dates. Fingers crossed that everyone excepts the formating...@_@

Hi Mynda, everything was understood including the complex formulas but am a bit hesitant to use this file, for one column went bounce. In Data sheet, the "DAYS COMPLETED" are inputted. If we relate it with start date wrt date when you made the chart, it does not match. Eg. Start date 17th & Days completed 2 but again below it is start date 18th & Days completed - 0. Could not understand this concept. I feel we should use TODAY() formula - START DATE & input days completed in Data column. However if days completed means portion of task completed, which is to be inputted manually, then its OK. This is the only thing I could not get. If you could put some light on this in case i am taking wrongly. I believe TODAY()-START DATE will give correct DAYS COMPLETED in Data sheet. But overall it is a classic example of your "exhilarating" skills! :-)

Hi Ravi, it's just dummy data. You would obviously have some way to evaluate how many days worth of the project were completed and if that means you replace that field with a formula, then by all means do so. This tutorial is more about the charting of the data than recording/calculating project completion days because each company may have a slightly different approach to how they handle this.

Hi Mynda, Thank you for such a nice Project management dashboard. I have a question, could you please help me with this. I want to write a function in Excel. I have prepared a Gantt chart with dates as a row header. I have to fill in the task's start date and end date and each task has a particular duration. I wanted to split each day into 3 slots(8 hours each). For example, if a task has a start date of 09-06-2023 and it will take 32 hours to complete the task, then it should fill the cell under 09-06-2023 completely and the cell under 10-06-2023 partially (1/3rd part of a cell) also ignore weekends. I wanted to write a function because I have linked my Excel with power automate and I see power automate doesn't support .xlsm format. Please help me to write a function in conditional formatting. Thank you.

But I want to ask, how do I sort the start date and end date columns? I seem to only be able to sort the Task column only?

If you want to sort by date, it needs to be the first column in the PivotTable.

Regards. When recreating the file from scratch guiding me through your video, when I get to the part where the scroll bar is inserted to move the timeline (using the alternate formulas for the SEQUENCE function), only the first 30 days (from according to the options you give in the video), but in my example the MIN start date is 12 / Dec / 2019 and the end date is 24 / Nov / 2020. I do not understand then why when I moved it only reached 24 / Jan / 2020. I have checked your file for office versions other than 365 and everything looks the same as in my file but in yours if it moves to the last date of the example. What should I do so that my displacement covers the entire time range as in your example? Thank you

You need to change the form control's maximum value to allow for the number of days in your date range i.e. the number of days between your MIN date and MAX date.

Great tutorial, thanks! Quick question: at 5:30, in the PivotTable Fields, where do "Months" and "Months2" fields come from? They are not in the original table, in the Data tab (unless I missed it)

Taking the first line of the data: If I end my task earlier than expected, the progress will stay at 40%. Also If "Days completed" > "Duration" then progress will be more than 100% while in reality I still at 100%, it just took more time. How to manage this issue ?

You have to alter the end date in the data sheet to reflect the actual/revised end dates. Alternatively, you could add a 'forecast date' column and factor that into the report.

Hi Mynda, Learned so much in excel by watching your tutorials. Can you help me in fixing an issue raised with the dash boards. I created a dash board in my laptop which looks fantastic and shared to customer. While in customer PC (1920*1080) it was shrunk and looks very awkward. Then i realized that it is not a dynamic dash board, somewhere i missed few steps to follow. Can you help me in designing a dash board which looks same irrespective of resolutions. Thanks, Aj

There's nothing you can do to make the dashboard automatically adjust to a bigger resolution. You can try designing for that resolution on your laptop i.e. adjust your laptop resolution and resize the dashboard.

Hi, thank you for the work along tutorial. I have found it very helpful. can you answer a quick question for me regarding alphabetical sorting please? It will stop me from having to start the whole process all over again. the pivot table seems to default to alphabetical order by task, or by the first column and not the start date order (ascending), this affects the gantt chart. have i missed something?

If you want to sort by date, you need to put the date field in the first column (row label) or the PivotTable.

Hi Mynda, I've followed your tutorial and tried the downloaded version both of which have been successful. However, one issue I have experienced in either chart is that when performing a data refresh, the order of task is changed, although they do remain withinside their respective category. I have even tried giving each task a preceding number, i.e. 1.0 task A. 1.2 task AA, 2.0 Task B etc, but the issue still happens. Any thoughts?

This is fabulous - I have done something reasonably similar but using multiple formulas and multiple worksheets and tables. This video has made me want to scrap months of development work and do it all again!!

How is the formula for determining progress percentage written? Once the end date has passed, I am getting over 100% on progress when it should stay at 100%. I do know it is an IF(parameter>1,1) formula, but I can't figure out how to place it . :(

Hi Siddiq, if you download my file (link in video description) you'll see the formula has nothing to do with the date fields. It's simply days completed/duration.

Hi! My original data table had pre-populated drop downs. When I sort my dashboard pivot table it brings in each task with every option of the drop down as it’s own line item. Example: Task 1 complete Task 1 in progress Task 1 deprioritized The 3 above are only one task. Can drop downs be used for a pivot table?

You'd have to use an OR formula that looked for dates that were weekend OR from a list of holiday dates.
