1. Start by taking everything out of your folders, archives, and drawers, and drag all the files, books, and paperwork into a pile on your desk top. 2. Once you have a big pile, open each item, one-by-one and consider if it sparks joy. 3. If it does not, discard it. But before getting rid of items, sincerely thank each one for serving its purpose.

I created a folder named "desktop" on my desktop. :) If I need to save something quickly, I use this folder rather than the desktop. Periodically, I clean the "desktop" folder by deleting things I don't need from it and moving the files I need to my permanent folder structure. I also don't allow apps to put shortcuts on the desktop; if they do, I will delete or move them to the "desktop" folder immediately to decide later what to do with them.

So, basically your sub-folder "desktop" within the Windows standard folder "Desktop" - not case sensitive anyway - is a simple file dump. Probably the time has come to rename it simply to "dump". 😉

Great video! It's also worth noting that you can use the Windows Key + Number to open applications pinned to your taskbar. For example if the browser is your first pinned icon, Win+1 will launch it. On all my computers I keep my task bar consistent so Win+1 always opens my Browser app, Win+2 is Outlook etc, etc (I skip File Explorer because that's Win+E). Once you've decided on a system and memorised it you can jump between apps in no time without ever having to move your hand off the keyboard.

Thank you. That is a nice organization system. I use my Desktop folder for current projects. Most of the stuff gets moved or deleted after the project is complete. Years ago, a friend had so much stuff on his Mac OS 7.6 desktop that he had a scroll bar. Windows OS just displays what it can, and the rest has to be accessed through Windows Explorer. I have been in the IT business for a while and have seen some cluttered desktop folders.

Personally I pin all programs I use everyday to my taskbar, then the less common but still important ones will have shortcuts on the desktop to the left. On the right side of my desktop I put shortcuts to folder that I consider important. Using date of creation is bit redundant and prone to error when you can already include a Date Created column in file explorer. The "client project title" format let's me think you might be better off with proper folder structure. For bookmark on the bookmark bar I keep the most use ones on the top layer and I delete their name so that only the icons are visible. I coo think you can do in google is to name the window by right-clicking and selecting "Name Window" this way I can have a window for KZitem that is always going to be name KZitem in the taskbar, same for ChatGPT, Udemy, Current Project, etc.

as for the desktop i don't even have the recycle bin icon in it cause you can alway access it via file explorer. As for the taskbar, keep in mind that windows let you open those with the WIN+1, WIN+2 etc shortcuts so i tend to put those that i use more and don't already have a windows shortcut like file explorer (WIN+E) in the first positions (it works of course with only the first 9 icons here).

Additional to the file manager shortcut WIN+E, I mapped some more, to open the browser with WIN+W, mail client with WIN+M, calendar with WIN+C, KZitem web app with WIN+Y, terminal emulator with WIN+T and so on.

i learnt a long time ago to organize my files and emails and bookmarks based on what i want to do with it, not what it is, since 2005 i never changed my folder structure, my bookmarks is a bit intimidating sometimes though 😁

I'm been on PCs since 90s and here's my system: Level 0 is my storage devices. Like C drive, D drive, cloud storage drive, etc. C drive would be an NVMe SSD 1Tb drive that would be big enough to have all windows and other system files and also all small programs that sometimes have issues if installed in the drive other than C. D drive historically was my games folder - that's where all my games and anything related to games live and NOTHING else. This actually has the same functionality as my newer V drive E would be my RAID 1 storage device, it doesn't have to be fast, in fact it's the only two of my SATA drives that I have - everything else is fast NVMe SSDs. This one also backed by cloud and is largely the same as cloud. Basically if you're not a geek you don't really need RAID 1 as long as it's backed by cloud. This one is where ALL files and anything that's important not to lose lives. F would be my cloud storage with largely the same stuff as E. V - same as D drive, but faster and for bigger, newer games. W is fast and large NVMe drive for 3d modelling, deme dev and other projects. Everything related to work in progress creative work lives here. It's slightly different, but it works for me, because by default I already split everything in categories before even creating the first layer of folders. And a lot of stuff doesn't need organization - C drive, D and V drives don't need any organization for obvious reasons. It's easy to delete anything from there, because nothing important belongs there in the first place. So what's left to organize is just my E/Cloud documents drive and my W heavy digital and video projects drive. Hope it helps someone.

I really don’t want anything on my desktop but 1 or maximum 2 sticky notes and if needed a file I need on one of my computers (my Mac desktops are linked) which I am going to use within 24 hours. All my files go in my filing system. The important files and all videos and foto’s are also automatically uploaded to my Synology Nas. I created a folderstructure so I always know where I store my files. The 24 hour desktop rule also is for max 2 files because it is handy. However 90% if the time there are no files there. Nice video. Thankfully I am already used to keep track of all this areas on my machine. Have you ever tried third-party file browsers and file indexing software? I recently adoptex XYplorer and Listary that combined really elevate my productivity. The first is a really powerful file browser that can substitute the default Windows file explorer and the second one is a small search bar that indexes all your files and more amd it works a lot better than default file search at finding what you really need.

Hi, you can do a right click on the desktop, go to view and then choose the icon size. Alternatively you can press ctrl + scroll the wheel of your mouse to make the icons smaller/larger. To move them, just drag and drop. All the best, Lea

The OS keeps track of file dates. No need to include dates in file names.

Hi Lea. You propose many policies that for sure will be useful to keep order in files, folders and inside the PC. To tell the truth, I'm not much interested in that, but only because I always kept in order my computer. I suggest also to make some video explaining people what methods can be used to start from a PC very messy to get a well ordered machine, because it's a very time-consuming process... it's long and hard work! 😆

I have 2 questions: 1) Windows 11 seems to not allow me to move my taskbar to the side of the desktop, only keep it on the top or bottom. Do you know of any ways to get around this? 2) If you are using a work-provided device, do you have any additional advice? I cannot remove shortcuts on the desktop without an admin password. We are also not to store files on the desktop, as everything should be stored on OneDrive. This is to prevent lost files if something happens to the computer (theft, damage, hardware upgrade). Are there ways to pin shortcuts to frequently used files in OneDrive somewhere else on the computer? Love your content! Thanks!

Hi, thanks for watching the video. To you questions: 1. Unfortunately, there is no quick fix to that. Theoretically, you can move it to the left but only by going into the Windows registry which is a bit more complex and technical than just toggling a button - apologies. 2. I see what you are saying and know the challenges. Depending on your organization's restrictions you could still do the following: right-click on frequently used documents on OneDrive and then click create a shortcut. Then you can move the shortcut to your desktop or even to your taskbar. All the best, Lea

Dont forget saving all your created files (photos, books/articles) in a backup on a separate external data drive (attachable hard/silicium disk drive/USB Memory Stick and/or your personal protected Cloud folder), so that you have it even if your device breaks down or gets lost. On public data drives encrypt your files (e. g. VeraCrypt/TrueCrypt). @Simple directoy tree structure: to start with 2 sub directories to differentiate private stuff from work stuff below your home directories ~/Documents: 1.) sub directory "~/Document/general" for holding non-work related files (hobbies, interests, NGO engagement), and 2.) sub directory "~/Document/work" specific files (may be also professional education, elearning). Than create content specific named sub directories (like ~/Document/general/hobby1, ~/Document/general/sport1) below of the general or work sub directory. In future you can move one content sub directory from general to work-job if that content becomes a future part of your work-job. Over time you may get a bigger and deeper directrory tree and from time to time you may move, divide or merge content directories or files. 3.) sub directory ~/Documents/books if you want collect files (ebooks) together (both general and work related) just in one directory. I do this with downloaded files which may be intereesting for both non-work and also for work stuff to keep them outside the normal internet browsers Downloads directory (~/Downloads). @Windows: %HOMEDRIVE%%HOMEPATH%\Documents\ always gives the absolute path to your own Windows user home Documents directory (which is short with UNIX/Linux: ~/Documents). 1.) %HOMEDRIVE%%HOMEPATH%\Documents\general\(Content-named-sub-directory like education, shopping, holiday) 2.) %HOMEDRIVE%%HOMEPATH%\Documents\work\(Content-named-sub-directory like professional-education-1, professional-work-1) 3.) %HOMEDRIVE%%HOMEPATH%\Documents\book\(Content-named-sub-directory like climatechangereport)

1 - To those of you with messy desktops on an Apple Mac, do not fret. Start up the Finder. On the sidebar on the left, click on “Desktop”. This will organize everything on your desktop and produce a list of what’s there. Click on the label of any of the columns and Finder will sort the folders and files by that column. 2 - Don’t put dates in file names. If you do, files with common topics probably can’t be sorted and listed together. Windows and Mac operating systems create and maintain file “Create Dates” and “Last Modified Dates”. If some other date (like “Due Date”) is important, add it as a tag (attribute) of the file. - - - Unquestionably, the best and most understandable / relatable file naming scheme is to make the names be specific cases of a topic/object/noun with are deeper in the hierarchy than the folder names.

However, putting the date in the file name has the advantage of seeing it at a glance and also not messing with the "created" or "last modified" date when files are sent (which is sometimes the case). Thanks! It was very informative video. After buying Synology NAS I also started considering to improve my file storage organization. BTW, I saw a Greenshot app on your taskbar. I also used to use it several years ago, but now it is deprecated and I switched to ShareX which is way more advanced. I highly recommend it! :)

It is really NOT a good idea to save files on your Desktop!. Put them in folders under Documents.

@@LeaDavid Hi, Lea. Thanks for responding so quickly! I did run a few tests, and so far, I haven't encountered any problems or issues with the files being damaged or corrupted. I also used the underscores with added spaces and everything ran smoothly as expected. However, I made sure to back up the programs before running the tests lol.

All I really want is the Photos and Videos I have imported. I keep having to buy another computer. WHAT computer should I buy? I used a Photo stick and after a few years, it tells me to insert the disk. I DO NOT UNDERSTAND COMPUTERs and having a smartphone made it worst!

Thanks for the great info. You suggested file names like the following Date and then file name. I would suggest the reverse because the date is then static which will prove to be important if you make changes to that file and Windows automatically dates and times them.

Yes, you can Open Settings. Go to Personalisation. Select Taskbar. Click Taskbar Behaviours. Change Taskbar Alignment to Left.

There are pros and cons of using underscore, hyphens, or spaces to separate words in file names. Very often, it goes back to your personal preferences and the ease of use (with some separators you can easily jump across the path names, with some less so).

Many years ago I was taught to use underscores between words in a file name because some systems automatically removed spaces in file names. The underscore keeps the space and makes the file name easier to read. I don't know if that is true anymore, but i'm still in the habit of using them.

@@jackfrank303 Thanks for sharing. Not sure which operating system you were using but this shouldn't be the case nowadays any more. However, some systems (where you might need to upload files) still have problems dealing with spaces so I agree with your, rather be safe than sorry and use underscores or hyphens.

to continue the comments, while most OS will now accept spaces in filenames, there are a few software programs that do not. If you get in the habit of always using the underscore, it never becomes an issue.
