Thank you for the great video, well done! I use something similar and it works really well. It is nice to see tasks and events in one place. Anyway, I noticed after you entered the Dentist Appointment that you said here it is and it is set for the default hour and that kind of works. Here’s a tip for greater control of your calendar. Let’s say your Dentist appointment will last an hour and a half. If you enter Dentist Appointment Sunday at 5pm [90m] in Todoist, it will sync with Google Calendar and apply the [90m] as the time needed for the event and then remove the syntax from the name. Simple, easy, and removes a little friction in keeping them in sync. Hope this helps and keep up the good work!

Thx. Your vids are concise and full of great info. My Google cal is one are of my life that I haven't incorporated into obsidian yet. I have todoist there so this will be my solution!

After I watched your videos i'm been using and loving this integration between these two apps, it has definitely helped me. After some time using this integration I think the down side of this is that we can't connect more than one calendar in Todoist and it bothers me a little bit because I have to put all of my different tasks in the same calendar and it's not good for visualization. Anyway, thanks for your video, it was very helpful!

I think you had great content in this video, but it was a struggle for me to get through. There are some of us who have trouble “tuning down” background music, so it seems like it is very loud. I’d encourage you to consider if you really need it.

Google Calendar actually also supports quick add. Hit Shift+C and enter similar like in Todoist

Thanks for the tip! Played around with that a bit and it's definitely faster than the route I took in the video. Only con I see is that it seems like you still have to go to the specific date in the calendar first it only seems to be able to pull out a time not a date during input (I could be missing something I only quickly tried it). Also I don't see a similar benefit from the google calendar phone app which is where I generally do those quick event entries: one click on the widget + writing a sentence and you are good to go. I feel like google definitely has the engineering to be able to pull off simplified entry like that I guess it's just not a priority.

Hi Dale! Firstly I want to say that this is a fantastic video. The camera, audio and production were in general so amazing that I can’t quite believe you have only just started on KZitem so please keep it up because I’m sure you’re going to do great 😊 I came across this video because I’m trying to tackle this Todoist/Google Cal workflow right now. My issue is that I’m not sure how to split things up. Should ‘events’ such as catch ups with friends and family etc. be on Google Cal only with Todoist reserved for ‘tasks’? Or should everything flow through Todoist so that you can see everything that needs to be actioned in a day? If so, what’s the point of having both? Would be interested if you have any opinions on this! Thank you!

Hey Amy! Thanks for all the kind words! I really appreciate it! I'm definitely going to keep at it. As for your question. The way I have it broken up is: Todoist is my intake for everything to do with events just like the ones that you mentioned, it's the widget on my phone that I actually refer to on a daily basis to see what I got going on. But, Google calendar is my go to for planning my days and weeks, my planning sessions are much less frequent but nice to have. Essentially if I'm trying to change up my routine in some way I'll shift things around and I find it's handy to do all that in google calendar and if I have all my events sync'd in there already (from when I put them in on Todoist) I'll know what I might need to try to plan around. If the detailed scheduling isn't as necessary for you I think you could get away with only using Todoist. Just my thoughts. Let me know if that made sense. I hope that helped! 😀

I was pretty surprised that since starting Todoist I have preferred to use the ‘Upcoming’ view as my way to track my day rather than Google Cal so I think that will work pretty well for me. However it’s hard to let go of Google Cal completely because the calendar view is just too nice...maybe one day when Todoist adds that functionality I will let it go. I think you mentioned that you’ve been using this system for around a month-ish? Would be super interested to hear if you end up making any adjustments to your workflow in the longer term!

@@amyguan8225 Yeah I'll definitely update as I keep going. Always shifting things around to find the best fit. I have definitely fallen in love with the upcoming view. It's the exact type of thing I needed. I don't mind switching around apps too much for the different purposes. As much as I'd like to have one app to rule them all. From a software perspective I understand it's tricky to pull that off cleanly. Much easier to pick a specific usecase and optimize for that. Thanks for the suggestion of the ergonomics video. I'll add that to my list! It's definitely a pet passion of mine I've been using my split keyboard for maybe 6-7 years now. I code in my day job so anything I can do to reduce the likelihood of carpal tunnel I try out. Takes some getting used to but initially but now I don't notice it at all. Although none of my friends can handle it when they try to type something. 😂 If you want a book to read on ergonomics I recommend: www.amazon.ca/dp/B01E1HDJ64/ref=dp-kindle-redirect?_encoding=UTF8&btkr=1 I'll probably re-read that for whenever I decide to make the video as it's been awhile. My brother is a graduating software engineer and I think it would make a really cool gift but he games a lot using a regular mechanical keyboard at the moment.

Great setup! I have a question, what project do you categorize one off tasks under, aka not appointments or recurring tasks? “Clean the garden” “Fix shower door” etc. Do you put them under Appointments?

Hey do you think it’s useful to put personal stuff not business ones into Todoist such as dentist? I personally use apple reminders for that but I’m thinking of using your method. What’s your thoughts? Also why GCal?

I personally like it for appointments to serve as a reminder. I check the upcoming view daily and it's good for seeing anything that's coming up. But if you have a tool for that then maybe it's not necessary for you. Also I'm an Android guy which is probably why I use GCal.

I did rewatch your video now and I enjoyed it. Really good production there. Thanks for replying back. Yes I’m confused if events should be also added into a task manager. I do like Todoist but the limitation it has with different calendar + projects limit + reminders makes me think twice. I did try fantastical also but left it. Apple reminders is good and does what’s needed but it has no calendar integration or universal capture shortcut as Todoist. (All apps are good for desktops but on iPad not really which is a main device for me).yea so it’s confusing which app to use till this moment. By the way what mail app do you use also?

Hey, I wanted to add a recurring task "vitamin tablet everyday at 11pm". I don't this to show in google calender as it is a quick task and irrelevant to schedule. But if I delete the task from Gcal it gets deleted from the todoist also...how to make a recurring task only show in todoist and not in Gcal after integration?

For stuff like this. I generally do them as an "all day event" which is nice just because it doesn't take up space in Google calendar. Maybe that helps. I know it's not perfect but works ok for my purposes.

Thanks for the compliment! 🙂 As for the question, not that I'm aware of. You can tie a calendar to a specific project in todoist but I did not see an option to hook up multiple calendars which is a bummer. Let me know if you find a way!

What happens to the event when you complete a task in Todoist? Also, can you complete a Todoist task within the calendar? I find that Google Tasks sucks big time but the integration with GCal is far superior than any other app.

So when you complete the task in todoist it just goes away in todoist which for me is essentially my source of truth for things I care about. It still sticks around in google calendar in the same way after you finish a meeting it wouldn't disappear or anything so I think that behaviour makes sense. Also an interesting note for recurring events you can select "Complete Forever" to get rid of them from todoist but they'll still be in your calendar. I do this for things I put in my calendar that aren't relevant for me to see every day. Hopefully that made sense.

At 2:12 you talk about how you used to miss events as you really wouldn't see them unless you set reminders (as opposed to saving it as an event). So why not just set a reminder for it? and I don't see how Todoist helps here either, as you've said that in Todoist, there's an "upcoming view". But again, how does that help, when you still missed your events despite having a bird's eye view of all your events on Google calendar. If you were gonna miss them anyway, all you had to do was save them as reminders. Todoist doesn't help in this regard, but let's see what you have to say.

Hey! Thanks for commenting. As with anything this is just my personal experience so everything is subjective, if you have a system that's working for you then certainly don't change on my account everyone works differently. All the things you mention make sense theoretically but I found the experience just wasn't really as good as I would like. Maybe I'm just picky. I think the easiest way to describe it is that the "upcoming view" gave me an easy at a glance view of all the things coming up that were "out of the ordinary" so I could be aware of them and easily check for them in an uncluttered fashion. I have the widget on the homepage of my phone and it's very obvious when I have something coming up. Every time I open my phone I'll see anything that's coming up and only those things e.g. not stuff like work/sleep/read/etc. If I use the example of a Dentist appointment I would have already noticed that was coming up many times leading up to the appointment itself. As you mentioned I could open up google calendar and take a look but google calendar is filled with many blocks and it's hard to notice the upcoming events easily when it's one among say 20-30 blocks on the screen the experience just isn't tailored for what I'm looking for. For me personally Google Calendar is a "set it and forget it" tool. Which I usually only come back to when I am thinking about making changes to my daily routine. The reminders while good at the moment of the reminder quickly fade out of my mind after they are done. I think for me personally the reminders just aren't "sticky" enough I would essentially need to set a bunch of reminders in the days leading up to the event I care about to get a similar effect as the upcoming view in Todoist. I think it comes down to different needs. I like to use my Google Calendar to create my schedule and see how my daily repeating activities work with eachother. I like to use Todoist for an "at-a-glance" view and reminders into that are out of the ordinary (as well as things like grocery lists, etc.). I think they each handle their own tasks well. Again this just comes down to how my brain works and how I like to best interact with these tools. To be honest I could get away without the integration with how rarely I interact with my Google Calendar but It's still nice to have. Hopefully that made sense.
