Nowadays, anyone, sooner or later, finds himself/herself having to write an email to a professor, an employer or someone we doesn't know... Well, in this case, how should we behave? What formulas must be used? How formal do you have to be? We have answered all these questions in this video tutorial!
HOW TO WRITE A FORMAL EMAIL IN ITALIAN
Let's start now!
1. The first aspect to keep in mind is the subject. You must never overlook the subject because it's the first thing that the recipient of the email will read: if not written well it may not attract his/her attention or, worse, s/he might decide to throw away your email as spam. And you don't want it trashed even before it's open, right? 😉
So, to avoid these unpleasant situations, the subject must be explicit, brief and concise: you must explain, in short, in a few simple words the subject of your email, without too manh datails.
For example, if you are applying for a job and you have to send your curriculum vitae, the subject could be: "Candidatura lavoro" or "Curriculum vitae", without adding anything else.
2. But now let's move on to the actual email: the body.
First of all we must take care of greetings: in a formal email, in fact, we can not simply write CIAO!
Therefore, we generally use adjectives expressing reverence (such as EGREGIO, SPETTABILE, GENTILE) + the title and the name of the recipient
EGREGIO and SPETTABILE are more appropriate when the email is addressed to someone isn't known at all or deserves particular reverence. For example, the rector of a university, a potential employer or... the President of the Republic!
GENTILE, instead, is more used in e-mails addressed to people who in a way we already know and with whom we have a relationship of some kind. For example, the professor with whom we are writing the thesis or a work colleague with whom we have a formal relationship and so on.
Regarding the title, if we don't know exactly the role of the recipient we can call it "signore" or "signora", using the following abbreviations: Sig. / Sig.ra.
If we know his/her role, we can indicate his/her profession. For example, "professore" or "professoressa": Prof. / Prof.ssa. Or "dottore" or "dottoressa": Dott. / Dott.ssa.
Then write his/her last name or first name and surname. And don't forget a comma immediately after!
For example:
Gentile professor Rossi,
Egregio dott. Mario Pinco,
Ah... but there's also another greeting! "ALLA CORTESE ATTENZIONE DI". This can be used in all cases, but it's perfect when you have to write not to a person, but for example to an office, then in those cases where it would be inappropriate to use one of the adjectives mentioned above.
For example, if you have to write an email to complain about a faulty product you could start with the formulas:
Alla cortese attenzione del reparto commerciale,
or
Alla cortese attenzione dell’ufficio reclami,
Once you have finished greetings, remember to start a new paragraph!
Now, first of all, if the person doesn't already know you, you must start with your short (short!) presentation.
Then, if the person doesn't expect your email, you can use an excuse formula like:
Sperando di non arrecarle alcun disturbo…
Afterward, however, go straight to the point and explain why you decided to write the email. Use, for example:
Le scrivo in merito a…
La contatto per illustrarle…
Le scrivo perché…
N.B. Always remember to use the form of courtesy (the formal Lei) and, consequently, to conjugate all verbs to the 3rd person singular.
Other little tips we can give you are:
- be clear / but brief / In short: you are writing an email, not a novel! Don't risk to annoy your recipient!
- be organized. This is why we advise you to divide the body of the text into paragraphs. It will be smoother!
- pay attention to punctuation, lexicon but also to spelling and grammar! After all you want to avoid bad impressions, right? (In this regard, if you have any doubts don't hesitate to write them down in the comments! We will gladly help you!)
- indicate the presence of any attachments (with formulas such as “Allego alla presente il file con…”)
3. Finally, once the body is finished, you must go to the final greetings: how should we formally say goodbye?
The most frequent formulas are:
Distinti saluti,
Cordiali saluti,
Cordialmente,
